Job DescriptionDescriptionOverview The New York Public Library (NYPL) is one of the world’s great public research libraries. Its research centers provide opportunities for engagement with in-depth and unique collections, inspirational reading rooms, exhibitions, programs, and a range of research services. Collections and Research Services encompasses several departments focused on managing the ongoing development of our exceptional research collections, advancing unified discovery and expanded access to our collections, both in-person and online, and ensuring stewardship of the collections at every stage of the collections lifecycle. The Digital Asset Manager will be joining the Library at an exciting time as we work to implement a new Digital Asset Management System (DAMS) to serve as the central hub for managing access, rights, and stewardship for the Library’s digitized and born-digital collections. The Manager will be responsible for day-to-day operation of the DAMS, working closely with the Metadata, Rights, and digitization teams to ingest and manage assets according to Library specifications. The Digital Asset Manager will also work closely with the Product Management on the Digital team to ensure the DAMS operates as a well-integrated and efficient system supporting internal workflows and accessibility through the Library’s Digital Collections platform. We are looking for someone we can count on to: Own: • The end-to-end processes for the DAMS from ingest to publishing and file delivery for the full range of file types and workflows, • File permissions, user roles, and account management in the DAMS, • Strong partnerships with key internal stakeholders and external partners, ensuring that asset management processes align with project timelines and goalsTeach:, • Standards and best practices to NYPL staff involved in asset management ingest, versioning, and publishingLearn:, • Tools and skills for automating large and recursive asset management tasks, • New developments in asset management and best practices for cultural heritage institutions to ensure that NYPL's processes remain current and compliant, • A deep understanding of the cultural and historical significance of NYPL’s collections to make informed decisions about organization and accessImprove:, • Communication, dynamics, and collaboration across teams, departments, working groups, and stakeholders, • The asset management workflow, identifying and implementing opportunities to streamline and enhance efficiency and reduce turnaround times for project approvals, • Join and contribute to the selection and initial implementation planning for a new Digital Asset Management System, • Begin to understand the scope of the NYPL's collections and digitization practices, their role in strategic initiatives related to Digital Collections, and begin onboarding and training on internal systems and workflows related to asset management, • Meet and form relationships with internal teams, including key collaborators in Digital, IT, Research, curatorial and reading room stakeholders, Exhibitions and Public Programming, Communications and Marketing3 months, this person will:, • Continue the onboarding process, completing required trainings and meeting key staff partners, • Understand NYPL’s metadata system/standards, copyright as related to asset management, repository ingest/architecture, and user roles/responsibilities, • Be a contributing member of committees, working groups and strategic planning efforts to align asset management strategies with larger institutional goals, • Begin taking ownership of more complex asset management projects, including vendor digitization ingest, permissions orders, and larger digitization projects6 months and beyond, this person will:, • Participate in and help lead the process for determining next steps for asset management at NYPL, including consultations with DAMS vendor for customizations and integrations, • Develop a clear sense of the long-term roadmap for the role that asset management plays in providing access to the collections, and a broader understanding of its role in contributing to measures of success for the Library’s strategic initiatives and goals, • Develop and maintain ongoing relationships with DAMS users and stakeholders across the organization, especially forging a strong and effective working relationship with Digital Product ManagementResponsibilities, • Contribute to final vendor selection of a new DAMS weighing factors like scalability, ease of use, integration capabilities, cost, and support services, • Coordinate with IT, Digital, and all other stakeholder teams for implementation planning to ensure the new system meets the needs of its users, • Help plan and oversee the migration of existing digital assets to the new system, • Configure and customize the new DAMS in collaboration with key partners to establish organizational models, data structures and other system settings in alignment with the library's policies and workflows, • Monitor the performance of the DAMS to ensure alignment with goals, policies, workflows, and key stakeholder teams and systems, especially the Library’s Digital Preservation repository, Preservica, and gather user feedback for continuous improvement, • Establish and maintain user roles and permissions to ensure appropriate access to assets, • Ingest large digitization and born-digital projects from vendor and donor sources and deliver large data packages for patron orders and donor requests, • Serve as the main point of contact for Library staff and develop training materials and conduct training sessions on how to use the new system and create comprehensive documentation, including user guides, FAQs, and troubleshooting tips, • In collaboration with Digital and IT, implement system updates and enhancements as needed to meet evolving Library requirements, • Provide regular reports on key metrics, • Keep up-to-date with industry trends and best practices in digital asset management., • Maintain clear communication with Library management and stakeholders about project progress and system performance, • 5+ years of relevant work experience in digital asset management within a library or cultural heritage environment, • Experience with various DAMS platforms and software, such as ResourceSpace, OpenText, Orange Logic, etc., • Experience with data migration and system integration, • Experience in setup and maintenance of taxonomies, ontologies, and content hierarchiesRequired Skills, • Understanding of DAMS, including their setup, maintenance, and administration, • Ability to work with various digital file formats (e.g., JPEG, PNG, MP3, MP4, PDF)., • Understanding of copyright and how it relates to providing access to digital assets, • Knowledge of best practices for securing digital assets and managing user permissions, • Ability to programmatically manage projects related to digital asset management, including bulk ingest and batch updates, • Strong organizational skills and the ability to handle multiple projects simultaneously, • Strong communication and collaboration skills and the ability to build consensus across multiple stakeholder teams, • Ability to train and support end-users in using DAMS effectively, • Ability to troubleshoot technical issues and adaptability to find solutions, • Ability to adapt to changing requirements and evolving digital landscapes, • Be Helpful to patrons and
