Job Description Position Summary The Patient Access Specialist is responsible for welcoming patients, managing front desk registration, verifying insurance coverage, and assisting with Medicaid and Charity Care applications. This role requires compassion, accuracy, and the ability to work in a fast-paced environment while maintaining confidentiality and compliance. Responsibilities Patient Check-In & Registration • Greet patients and visitors professionally and empathetically., • Collect and verify demographic, insurance, and contact information., • Accurately input patient data into the EMR system., • Confirm insurance eligibility using payer portals/tools., • Collect copays and nominal fees according to policy., • Maintain a clean and organized reception area., • Schedule appointments and provide reminders or instructions., • Perform administrative duties such as scanning, filing, and responding to patient inquiries. Financial Counseling & Coverage Navigation • Assist patients in applying for Medicaid, Charity Care, and other public programs., • Conduct eligibility screenings and assist with documentation., • Liaise with state agencies and county Medicaid offices as needed., • Educate patients on billing, coverage options, and financial assistance., • Maintain accurate records of all financial counseling activities. Compliance & Customer Service • Ensure adherence to HIPAA, OSHA, CMS, and other regulatory guidelines., • Maintain strict confidentiality of sensitive financial and health information., • Deliver exceptional customer service to all patients, regardless of background or coverage., • Report trends or barriers to access to the Office Manager. Essential Skills • Ability to multitask in a busy healthcare environment., • Strong communication and documentation skills., • Experience with Medicaid, Charity Care, and health insurance marketplaces., • Knowledge of EMR systems and insurance verification platforms., • Accuracy and attention to detail., • Commitment to health equity and access. Qualifications Minimum: • High School Diploma or GED required (associate’s degree preferred)., • 1+ year experience in a healthcare front desk or financial counseling role., • Proficiency with EMR systems and payer portals., • CPR certification (or obtained within 60 days of hire)., • Strong computer and organizational skills. Preferred: • Certified Application Counselor (CAC) or Presumptive Eligibility Coordinator., • Bilingual (Spanish/English) strongly preferred., • Experience working in an FQHC or community-based setting. Physical Requirements • Occasional lifting of 40-50 lbs., • Sitting, standing, and walking approximately 80% of the time., • Manual dexterity and ability to bend and reach as needed., • Normal accessibility and mobility required throughout the workday.
