Job Description Program Assistant – Aging & Adult Services The Mid-America Regional Council (MARC) is seeking a qualified individual to serve as a Program Assistant for our Aging & Adult Services Team. This person will manage administrative tasks for the team, coordinate travel, spending and logistics and support on the overall team coordination. Role Summary This position provides support to the department director and other staff on a wide range of administrative activities. An individual in this position performs responsible and complex administrative and technical duties requiring a significant amount of independence and judgment; is required to multi-task and set priorities for projects assigned by numerous staff; provides administrative support to a number of committees; composes documents, performs accounting and financial duties associated with purchases and department budget monitoring; maintains mailing and email distribution lists; maintains files and records; and handles arrangements for meetings and events, including facility, food, handouts, speaker, technology and other requirements. Core Responsibilities • Program assistance, • Assist in the coordination, planning, and execution of various programs, workshops, and events, ensuring seamless operations and participant satisfaction., • Maintain program schedules, calendars, and documentation, including agendas, minutes, and follow-up actions., • Provide support in scheduling and other meeting logistics for a variety of meetings and locations with internal and external stakeholders., • Communicate with program participants, speakers, and partners to facilitate information exchange and manage logistics., • Support marketing and outreach efforts., • Support the creation of program materials, presentations, and promotional content to enhance program visibility and impact., • Assist in data collection, entry and analysis related to program outcomes and participant feedback, contributing to program improvement and reporting efforts., • Administration, • Provide administrative support to Director of Aging and Adult Services., • Provide administrative support to committees by maintaining committee rosters and other records, preparing meeting packets and meeting summaries, and handling arrangements for meetings and events., • Maintain committee and special lists and databases to allow for effective and timely communication to various groups and constituencies., • Prepare emails, letters, memos, reports, meeting summaries, agendas, and other documents and correspondence., • Manage and maintain the department central files., • Work with public affairs and Growth Zone, including Growth Zone events platform, to set up events and registration, to keep distribution lists current and to coordinate mailings., • Conduct mass email distributions, mail merge projects and bulk brochure mailings., • Customer Service & Special Projects, • Represent MARC externally to local, state, and federal government and business contacts., • Handle requests for services and information from outside the organization., • Provide support in producing reports and tracking due dates., • Support team processes and timelines for procurement, monitoring and Area Plan deliverables., • Coordinate and assist staff with special programs and events, including public meetings, audio conferences, outside training workshops, and other activities., • Assist with MARC events, working with public affairs and other departments as appropriate., • Provides relief at the MARC reception desk as needed Starting salary range for this position is from $45,500 to $58,000 per year, depending upon qualifications. Basic requirements • Highschool diploma or GED or equivalent required. College degree preferred., • Three or more years experience in an administrative or programmatic support, workflow documentation, grant and event planning experience preferred., • Experience working with contact management program and working with meeting management to include scheduling, catering, note taking preferred., • Driving may be required for this role, this individuals must be at least 18 years of age and meet the driving requirements for company insurance guidelines. Must abide by driver eligibility and vehicle use requirements including a driver license background check through the Department of Motor Vehicles.
