Job DescriptionA well-established nonprofit organization is seeking a dedicated Program Administrative Assistant to help with strong administrative and program support. Responsibilities • Manage complex calendars, schedule meetings, and coordinate conferences and webinars., • Arrange and track travel, prepare itineraries and materials, and process expense reimbursements., • Prepare presentations, reports, and documents; assist with special projects as needed., • Handle IT, supply, and building service requests., • Greet and assist visitors; sort and distribute mail., • Take and summarize meeting notes for distribution., • Support onboarding and provide backup assistance to colleagues., • Perform other administrative duties as assigned. Requirements • Associate’s degree or equivalent combination of education and experience., • Strong proficiency in Microsoft Outlook and Office Suite (Word, Excel, PowerPoint)., • Experience with scheduling, travel coordination, and expense management., • Familiarity with virtual meeting platforms (Zoom, RingCentral) and collaboration tools (Teams, Dropbox, OneNote)., • Excellent organizational, time management, and multitasking skills., • Strong written and verbal communication and attention to detail., • Ability to work independently and collaboratively in a team setting., • Professional, customer service–oriented demeanor; adaptable to change., • Willingness to work occasional overtime as needed.
