Job Description We are a 30-year boutique law firm in Torrance, in the area of South Bay Los Angeles, with the primary practice areas of Probate, Will, and Trust Estate litigation and trust preparation. We are looking for an experienced legal secretary who can help the busy attorneys and paralegals at our law office assist clients. You’ll be responsible for managing office correspondence, including answering phone calls and emails, arranging meetings and travel, and ensuring our legal team is aware of upcoming deadlines. You’ll also assist with preparing legal documents, communication, and perform any other tasks as needed to ensure our firm is operating efficiently. This is a fast-paced environment, and we deliver a high-quality work product for clients. Attention to detail is a must. Compensation: $41,600 - $65,000yearly Responsibilities: • Time tracking on Clio daily for your time and the attorney's time, • Answering phones, obtaining necessary information from callers onto the Clio system for the attorneys, routing calls, and making call logs, • Maintain good client relationships for attorneys, • Complete all document processing and correspondence assignments accurately, • Prepare New Case Matters on Clio for new and existing clients, and engagement letters, • Maintain vendor folders and process daily mail, • Prepare and process costs and add them to the Billing with receipts, sending them to the appropriate parties, in accordance with the guidelines, • Prepare and arrange Personal Service, Copying, and facsimile requests, • Make all necessary travel arrangements, • Maintain accurate time entries for activities daily, for attorneys and yourself, on the billing software, • Maintain attorney/paralegal calendar, including scheduling and coordinating, telephonic, Zoom, and in-person meetings, • Prepare correspondence for receipt via email/portal and/or mail, • Track and organize costs in client matters and provide vendor folders to the managing partner for timely payments to vendors, • Organize and maintain the common areas throughout the office, • Maintain and Order supplies, • Process and drop off returns, • Maintain client e-file and tangible files, • Prepare cover letters and mailings, • Create shells, type and format a variety of litigation pleadings and discovery documents; prepare documents for filing and service of documents; electronically file and serve court documents as required by state, Federal, and local rules, • Draft certain motions and pleadings, • Prepare and organize materials needed for expert witness review, • Manage documents and maintain organized case files, • Handles all aspects of document preparation, including processing edits, generating redlines, PDF creation, conversions, and quality control of work product, • Seeks ways of being professional and responsive to clients, providing superior client service, • Utilizes applications like Excel and Adobe with proficiency to facilitate an attorney’s work, • Contact outside sources to retrieve information and review, and analyze the same, • Search and retrieve information from court-related databases as well as other online sources for case information, • Performs other related duties and special projects as assigned, • Assures that all completed projects adhere to accepted professional standards, • Demonstrates strong interpersonal, written, and verbal communication skills to facilitate effective work relationships with others, • Manages Firm resources responsibly, • Complies with and understands Firm operations, policies, and procedures, • Regular and reliable physical presence to work as part of a team, • Coordinate the service of process, • Prepare and coordinate service of Subpoenas, with Notice to Consumer, • Organize exhibits, files, and all other supporting documents, • All other duties as assigned or requiredQualifications:, • Candidates must have worked with legal software, case management, and docketing programs, • Comfortable working with all Microsoft Office products, • Some college is preferred; high school diploma or equivalent is required, • Organizational skills and communication skills are necessary for this position, • Minimum 1-2 years of experience in a law firm or office environment as an administrative assistant or secretary, • Applicants must be able to type 65 words per minute or faster, • Have at least 3 years of experience as a litigation legal secretary in civil, probate, or family law Competencies: • Ability to work independently and as part of a team in a fast-paced environment for multiple supervisors, meet deadlines, and maintain flexibility with work assignments (including changes in attorney/paralegal assignments) and work schedule, • Ability to organize and prioritize work assignments, • Must demonstrate initiative, diplomacy, and tact, • Possess excellent written, communication, and proofreading skills with attention to detail, • Reliable, committed, and punctual, • Each team member is expected to provide professional, efficient, and thoughtful support to the attorneys.
