Job Description Job Title: Executive Assistant Location: New York, NY 10029 Assignment Duration: 13 Weeks Position Overview We are seeking a highly organized and experienced Executive Assistant to provide high-level administrative support to senior leadership within a large and complex department. This role requires professionalism, discretion, and the ability to manage multiple priorities across clinical, academic, and business functions. Responsibilities • Partner with leadership to plan, schedule, coordinate, and track departmental activities, ensuring timely completion of projects and objectives, • Research, compile, and analyze data to prepare reports, presentations, and statistical summaries, • Monitor budgets, track expenses, and assist with financial recordkeeping, including accruals and account reconciliation, • Support HR-related processes such as maintaining employee records, assisting with payroll submissions, and coordinating issue resolution, • Assist with onboarding, training, and mentoring of administrative staff, • Coordinate office operations, assign tasks, and support performance management activities, • Plan and manage logistics for meetings, conferences, seminars, and special events, including preparing materials and recording minutes, • Develop and update internal and external communications (reports, flyers, and informational materials), • Review documents for accuracy, completeness, and necessary approvals prior to submission, • Manage office supplies, vendor coordination, purchasing, and contract renewals, • Maintain executive calendars, schedule meetings, and coordinate appointments, • Arrange travel, prepare expense reports, and process reimbursements, • Screen and prioritize incoming communications (emails, calls, and mail), • Provide support for special projects, compliance initiatives, and audit preparations, • Perform additional administrative duties as assignedRequired Skills & Qualifications, • 7–10 years of relevant administrative or business support experience, • Intermediate or advanced proficiency in Microsoft Office Suite, • Strong organizational, multitasking, and time management skills, • Excellent written and verbal communication abilities, • Ability to handle confidential information with discretion, • Strong problem-solving and decision-making skills, • Proven ability to collaborate and build effective working relationships, • Adaptability in a fast-paced, dynamic environment, • High attention to detail and commitment to quality, • Ability to work effectively under pressureEducation About Navitas Healthcare, LLC: It is a certified WBENC and one of the fastest-growing healthcare staffing firms in the US providing Medical, Clinical and Non-Clinical services to numerous hospitals.
