Job Title: Event Planner for 20th Annual Alaska Jewish Cultural Gala Company: Alaska Jewish Campus Location: Anchorage, Alaska Job Type: Seasonal, Part-Time. -September through October: approximately 5-20 hours per week. -November 1st through November 10th: Full time -Willing to be flexible for the right fit Pay: Based on expertise and experience, anywhere from $35.00 - $55.00 per hour About the Alaska Jewish Campus: The Alaska Jewish Campus is a vibrant cultural hub, home to the Alaska Jewish Museum and Cultural Center and the acclaimed Gan Yeladim Early Learning Center. About the Event: The Alaska Jewish Cultural Gala is an annual celebration of Jewish culture, cuisine, and music in Alaska, which continues to promote Alaska’s diversity and tolerance in the community. The Alaska Jewish Campus seeks an energetic and detail-oriented Event Planner to spearhead the production of our 20th Annual Jewish Cultural Gala, taking place this November at the Dena’ina Convention Center. This elegant black-tie affair is a highlight of Anchorage's social calendar, celebrating the richness of Jewish culture while fostering diversity and tolerance within our community. The Gala benefits the Alaska Jewish Campus, home to the Alaska Jewish Museum and Cultural Center and the renowned Gan Yeladim Early Learning Center, a leading multicultural early childhood education provider. We Are Looking For: A dynamic and detail-oriented Event Planner to orchestrate our upcoming Gala. The ideal candidate thrives in a team-oriented environment, pays meticulous attention to detail with minimal supervision, and possesses excellent leadership skills. You'll work closely with our Program Directors to orchestrate every aspect of the Gala. Your responsibilities will include managing logistics, adhering to timelines and budgets, and generating innovative ideas to elevate this year's event to new heights. Objectives of This Role: • Plan the Gala: Manage all aspects of event planning, meet strict deadlines, attend bi-weekly meetings, and adhere to budget., • Build a Network: Build strong relationships with vendors, venues, and industry contacts., • Train: Establish procedures and train volunteer staff., • Maximize Fundraising: Develop and implement strategies to increase revenue generation through sponsorships, ticket sales, auctions, and other fundraising initiatives., • Elevate Guest Experience: Curate a seamless and unforgettable experience for all Gala attendees, ensuring their comfort, enjoyment, and engagement throughout the event., • Amplify Community Impact: Leverage the Gala as a platform to showcase the Alaska Jewish Campus's contributions to the community and foster greater awareness and support for its programs., • Streamline Event Operations: Implement efficient processes and systems to optimize event planning, coordination, and execution, minimizing stress and maximizing results., • Foster Collaboration: Build strong working relationships with internal teams, volunteers, vendors, and partners to ensure a cohesive and successful event. Responsibilities: Overarching Event Management: • Manage all aspects of event planning and execution., • Meet strict deadlines and stay within budget., • Build and maintain strong relationships with vendors, venues, and other industry contacts., • Develop and implement comprehensive procedures for volunteer staff., • Recruit, train, schedule, and oversee volunteers., • Ensure volunteer needs are met and effectively managed on-site., • Develop and Deliver Comprehensive Volunteer Training Program, • Creation and tracking of a volunteer needs request sheet., • Develop and Manage a Volunteer Needs Tracking System, • Design and Implement a Volunteer Staffing Request Process, • Oversee vendor management (photographers, photo booth, catering, etc.)., • Coordinate catering (wine acquisition, special meals, etc.)., • Oversee on-site preparations, production, and event breakdown., • Maintain consistent, high-level service throughout all phases., • Troubleshoot any issues that may arise during the event., • Oversee post-event debrief and reporting., • Gather feedback for continuous improvement. Required Skills and Qualifications: • Events management: 2 years (Required), • Customer service: 2 years (Required), • Proven Experience: Demonstrated success in event planning or coordination, ideally with experience in fundraising or non-profit events., • Strong Communication and Relationship Building: Excellent interpersonal and communication skills, with a proven ability to build and maintain positive business relationships with vendors, sponsors, and stakeholders., • Exceptional Organization and Time Management: Highly organized with meticulous attention to detail, able to multitask effectively and manage competing priorities while adhering to strict deadlines and budgets.Calm, • Under Pressure: Ability to remain calm and make sound decisions under pressure, troubleshooting any issues that may arise during the event planning and execution process., • Adaptability and Flexibility: A flexible and adaptable approach to problem-solving, able to adjust plans as needed to ensure a successful event., • Bachelor's degree (or equivalent) in event management, hospitality, marketing, or a related field., • Proven track record of success in event planning and coordination, ideally with experience in fundraising or non-profit events., • Experience in marketing or public relations, demonstrating the ability to promote events and engage audiences effectively., • Familiarity with auction software (Greater Giving) or similar platforms, showcasing proficiency in managing auction events and maximizing fundraising potential., • Experience with the online auction platform Greater Giving is HIGHLY preferred To Apply: • Please submit your resume and cover letter outlining your relevant experience and passion for event planning., • We look forward to hearing from you!
