Job Overview: The Production Coordinator is an administrative position that supports daily execution of production and customer operations, logistics, and internal coordination to ensure smooth production flow and on-time delivery. This role provides direct support to the Production team, with a focus on administrative execution, shipping coordination, and assisting inventory management under defined ownership. The individual must possess the discipline to maintain the high level of traceability and accuracy required for medical devices. The position also serves as the front-of-house contact for visitors and supports facility access and communication. Reports to: Production Manager Essential Functions: • Company Culture and Mission:, • Consistently apply core values (Integrity, Impact, Dedication) to your decision-making process and interactions with others., • Uphold and contribute to the companys quality policy commitment., • Internal Manufacturing Workflows:, • Assist as a point of contact and liaison between manufacturing, engineering, quality, and production to support daily production flow and on-time delivery., • Support coordination of internal workflows by ensuring required materials, documentation, and information are available to the appropriate teams., • Assist in sourcing and purchasing materials, components, and supplies as directed., • Maintain organized inventory records and assist with cycle counts, stock audits, and reconciliation activities under the direction of the inventory lead., • Monitor current and anticipated orders against available inventory and escalate shortages or risks to the appropriate team members., • Support production scheduling activities by maintaining accurate job status, updating priorities in ERP, and communicating changes to internal teams., • Assist in tracking work-in-progress (WIP) and identifying potential delays or bottlenecks for escalation., • External Manufacturing Workflows:, • Interface with vendors to support timelines, coordinate outside processing, and support on-time delivery performance., • Support tracking and follow-up of outside-processing purchase orders and vendor commitments., • Coordinate, support, and track inbound and outbound shipments ensuring accuracy in documentation, labeling, and delivery execution., • Manage daily shipping activities including preparation of FedEx and other courier shipments., • Transfer packages to carriers and maintain shipping logs., • Receive inbound materials, verify accuracy, and report discrepancies to the appropriate team., • Support vendor performance tracking and data collection as needed., • Front Desk & Facility Coordination:, • Serve as the first point of contact for visitors, ensuring a professional and welcoming experience., • Manage visitor check-in, notify appropriate staff, and enforce facility access protocols., • Support building security by monitoring entry points and ensuring compliance with visitor policies., • Receive and distribute incoming mail and packages., • Coordinate with Facilities & Safety for any access or visitor-related requirements., • Enterprise Resource Planning Software:, • Enter and maintain ERP data related to purchase orders, shipments, inventory transactions, and job tracking in a timely manner to maintain real-time visibility of job status and inventory., • Prepare shipping documentation, packing lists, and labels; support documentation readiness for production as directed., • Review production documentation and data entries for accuracy and completeness; correct errors as needed., • Maintain data integrity, traceability, and compliance within ERP systems., • Provide alerts to appropriate staff regarding shipment delays, inventory risks, or documentation issues., • Support ERP workflow improvements and automation initiatives to improve efficiency., • Support automated reporting for job status, shipment tracking, and key performance indicators (KPIs)., • Training and Education:, • Maintain training competencies for all assigned job functions and systems., • Stay updated on internal processes, ERP systems, and applicable regulatory requirements., • Communication:, • Effectively communicate operational, shipping, and inventory-related information to supervisors and cross-functional teams., • Provide timely updates on shipment status, inventory issues, and workflow disruptions., • Support customer communication and shipment coordination as directed by the Production team., • Compliance:, • Comply with ISO 13485 Quality Management System, FDA regulators, and other medical device industry requirements as needed., • Other work-related tasks:, • As assigned. Competency: • Excellent organizational and task management skills, with the ability to prioritize and execute multiple activities in a fast-paced environment., • Solid verbal and written communication along with effective interpersonal skills., • Strong attention to detail and commitment to accuracy in documentation and data entry., • Proficient in Microsoft Office (Outlook, Word, Excel, Teams, One Note) and Adobe Acrobat., • Strong problem-solving skills and ability to identify issues and escalate appropriately., • Must be able to interact effectively at all levels of the company and handle confidential and sensitive information appropriately., • Works on assignments that require judgement, initiative, and attention to detail within defined processes., • Ability to read and interpret work instructions, travelers, and basic inspection documents., • Professional demeanor with strong customer-facing presence., • Customer focused behavior with a sense of urgency and ownership., • Ability to work both independently and collaboratively across teams., • Willingness to assist coworkers and support team priorities., • Ability to work well under pressure and manage shifting priorities., • A proactive mindset with a willingness to learn and improve processes. Education and Experience: • Associate degree or 24 years of related experience in operations, logistics, or administrative coordination preferred., • Experience in manufacturing and/or medical device industry preferred., • Experience with ERP systems preferred., • Experience with shipping systems (FedEx, UPS, international shipments) preferred.
