Job DescriptionSalary: DOE Jet Excellence is seeking a Human Resources professional with strong knowledge of labor law and a hands-on approach to HR operations. This role is critical to ensuring regulatory compliance, supporting the full employee lifecycle, and facilitating smooth internal processes across departments. The HR Administrator will also serve as a central point of contact for employee support and administrative coordination. This position will support the organization by developing and maintaining clear, compliant, and scalable HR policies and procedures that align with company goals. This role will handle day-to-day HR operations, coordinate employee engagement initiatives, and help streamline processes across benefits administration, performance management, and workforce planning. The HR Administrator will also track key HR metrics such as turnover, employee satisfaction trends, and staffing needs to help guide data-informed decisions. Working closely with leadership and staff, this position will ensure consistent communication, foster a positive workplace culture, and provide reliable administrative support across a wide range of people-related functions. Because Jet Excellence employs pilots and staff across multiple states, this position requires continuous awareness and understanding of evolving employment laws and regulations in each applicable state. Key Responsibilities: Labor Law Compliance & HR Advisory • Advise management on federal and state labor laws; ensure organizational compliance across all locations, • Monitor changing labor legislation in states where Jet Excellence operates and adjust internal practices accordingly, • Participate in compensation, staffing, and employee relations discussions with leadership, • Support EEO compliance efforts, particularly as Jet Excellence approaches the 100-employee threshold Employee Lifecycle Management • Conduct regular personnel file audits to ensure all required documentation is accurate, complete, and compliant with company and regulatory standards., • Serve as a primary point of contact for employee questions, providing timely and accurate HR guidance across policies, benefits, and general workplace matters., • Support the termination process by preparing required documentation, coordinating final pay details, ensuring compliance with state and federal requirements, and maintaining confidentiality throughout., • Oversee the offboarding process, including system access removal, equipment return coordination, exit documentation, etc., • Monitor employee relations concerns, escalate issues appropriately, and help facilitate fair, consistent resolution., • Maintain HR databases and ensure employee information is up-to-date to support accurate reporting and workforce analytics. Personnel Records, PTO & Benefits Support • Approve PTO requests for designated staff and provide final approval for all requests in the HRIS (BambooHR) system, • Monitor employee PTO balances and usage throughout the year, • Proactively address employees not using accrued PTO who may risk forfeiture, • Engage with employees who are over-utilizing PTO and work to resolve shortages, • Ensure PTO tracking and practices align with applicable labor laws by state, • Answer employee questions related to HR, benefits, and withholdings, • Administer benefits enrollment and coordinate open enrollment periods, • Maintain accurate and updated personnel records in BambooHR DER FAA Drug Abatement Program This role serves as the Designated Employer Representative (DER) for Jet Excellence's FAA-mandated Drug and Alcohol Abatement Program. This is a highly regulated area requiring strict attention to FAA compliance and reporting standards. Responsibilities include: • Coordinating pre-employment drug testing for safety-sensitive positions (pilots and maintenance), • Managing the companys random drug and alcohol testing program, including monthly selections and notifications, • Responding to and coordinating post-accident and reasonable suspicion drug/alcohol testing, • Maintaining testing records and managing the testing database in accordance with FAA guidelines, • Preparing for and managing semi-annual audits and required FAA submissions, • Ensuring timely reporting to the FAA and immediate response to any discrepancies or violations Additional Notes: Duties and responsibilities may be added, removed, or modified based on evolving business needs.
