The Impact You Will Have: The Workplace Experience (WE) squad is part of Sonar's Business Operations Team. The Workplace Experience squad, a team of 9 individuals, is responsible for supporting 800 employees across 6 offices and 2 hubs. Their core objective is centered on creating and maintaining an inspiring, efficient, and seamless workplace experience that enhances employee well-being, fosters collaboration, and supports business success. You will be the main point of contact for the Austin office, ensuring reception excellence, smooth daily operations, and consistent, high‑quality services across the employee journey. You will uphold operational excellence by running day‑to‑day services against defined SLAs, driving continuous improvements, and partnering with stakeholders to keep facilities safe, welcoming, and on brand. You will contribute to local office projects and own certain local events; key company events and large office projects are led by other roles, and you will support their successful execution locally. This role is ideal for someone who is adaptable, proactive, and able to learn quickly with minimal supervision. Position Overview The Administrative Assistant will support daily office operations, assist the inspection department, and provide high-quality customer service. The ideal candidate is organized, detail-oriented, and comfortable managing multiple tasks in a fast-paced environment. Key Responsibilities • Provide administrative support to the inspection team, including scheduling and accurate data entry., • Serve as a point of contact for clients, responding to inquiries via phone and email with professionalism and clarity., • Support front desk operations by answering calls, transferring as needed, and assisting when the receptionist is unavailable., • Organize, maintain, and file both physical and digital records to ensure data accuracy and easy retrieval., • Prepare purchase orders, process invoices, and maintain accurate financial records, preferably using QuickBooks., • Manage office supplies and maintain inventory to ensure workspaces remain fully equipped., • Create and publish content for the company website and social media channels, including resizing and formatting images for reports and online use., • Occasionally assist with urgent offsite tasks, such as transporting vehicles for inspections or service, with mileage reimbursed when using a personal vehicle.Qualifications, • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), • Experience with Adobe required, • QuickBooks experience strongly preferred, • Strong attention to detail and high level of accuracy, • Excellent organizational skills and ability to multitask, • Professional, friendly communication style, • Self-starter with the ability to learn independently and work with limited supervisionWhy This Role Stands Out, • Stable environment with exposure to multiple operational areas, • Opportunity to build versatile administrative skills, • Mileage reimbursement for any rare offsite errands #Admin4
