Job Description Details at-a-Glance • On-site Location – New York City-based position, with approximately four days per month at the JAZZ HOUSE headquarters in Montclair, NJ, • Full Time Employment - some weekends and evenings required, • 4-Year Degree Required, masters preferred Position Summary The Manager of Arts Education Site Operations + Concert Production is the on-the-ground operational and production lead for JAZZ HOUSE NYC. This role ensures that classrooms, rehearsal spaces, and performance venues at Trinity Church are properly equipped, staffed, and ready to support exceptional jazz education and concert experiences. The Manager oversees arts education daily program logistics, including scheduling, room and equipment setup, materials management, and staff coordination, and serves as the primary link between JAZZ HOUSE production and teaching assistants, emerging musicians, the Montclair campus, and Trinity’s facilities/production teams. The role supervises part-time production assistants, teaching assistants, and interns, and plays a central part in creating a safe, welcoming, and high-functioning learning environment. In addition, the Manager leads production for all JAZZ HOUSE concerts at Trinity (including Jazz at One and the Jazz Icons Series) and supports the Emerging Musicians Community Concert Program, overseeing artist advance, hospitality, run-of-show preparation, and onsite logistics for approximately 80 annual concerts. This role requires strong organizational and communication skills, comfort with equipment movement and basic AV/sound troubleshooting with a typical academic-year schedule of Monday–Thursday, 11:00 am–7:00 pm. Program + Classroom Operations • Daily Readiness & Supervision: Oversee and execute the daily setup, breakdown, and readiness of classrooms and rehearsal spaces, including supervising and scheduling Teaching/Production Assistants involved in these tasks., • Equipment Management: Manage the movement, inventory, repair, and maintenance of all instruments, backline, sound, and AV equipment, as well as general classroom materials., • Logistical Support: Monitor programs to ensure smooth transitions, troubleshoot logistical issues, and coordinate with faculty/teaching artists to meet their instructional and performance needs., • Program Assessment: Support the administration of surveys and gathering of scheduled feedback from students, families, and instructors to assess program effectiveness., • Production Leadership: Serve as the on-site production lead for all JAZZ HOUSE showcases, recitals, and concert series (approximately 20 free public concerts, 60 off-site Community Concert Series programs, and student performances), ensuring professional execution and compliance with venue policies., • Logistics & Documentation: Coordinate production logistics in collaboration with various teams, developing and disseminating comprehensive production schedules, itineraries, run-of-show documents, equipment lists, and post-event reports., • Artist Support: Support the procurement and contracting of talent for the Emerging Musicians Community Concert Series and provide necessary backstage and hospitality support for all artists and musicians., • Scheduling & Communication: Manage the weekly and seasonal scheduling of all classes, rehearsals, performance spaces, and internal events in coordination with facilities. Maintain program calendars and effectively communicate updates to faculty, students, musicians, and staff with the Director of Music + Learning., • Staff Training & Supervision: Lead, train, and supervise production and teaching assistants to ensure efficient operations, from setup through breakdown., • Collaboration: Work closely with the Director of Music + Learning and the Head of Operations to align program schedules, concert production timelines, staffing plans, and resource needs across all campuses and facilities., • Meetings & Planning: Participate in regular cross-departmental planning meetings to share updates, resolve conflicts, and proactively anticipate programmatic and production requirements. QUALIFICATIONS Education and Experience • Work Experience: 5–7 years of experience working in music education and live performance, arts education programs, community arts centers, concert production, or related performing arts environments., • Education Background: Bachelor’s degree required in Music, Music Education, Jazz Studies, Arts Administration, Performing Arts Production, Arts Management, or a related field; Master’s degree or equivalent professional experience preferred., • Arts Education: Demonstrated experience working with young people in educational, after-school, or summer program settings., • Concert Production: Proven program and production management experience, including staff scheduling and supervision, with strong organizational, logistical, and leadership skills, a high attention to detail, and consistent follow-through., • Communication & Interpersonal skills: Excellent written, verbal, and interpersonal skills, with a demonstrated capacity to build relationships across diverse communities., • Work style: Ability to work collaboratively and independently, manage multiple priorities, and meet deadlines in a fast-paced environment., • Strategic Planning & Execution: Strategic mindset and ability to problem-solve in real time, supporting program innovations and adjustments with ease., • Technical Proficiency: Google Workspace, project management platforms (e.g., Asana or similar), and basic data tracking and reporting tools., • Operations + Protocols: Knowledge of current program operations, production protocols, and safety standards in educational or performing arts settings.
