Job Description Position Summary The Coordinator, under some supervision, interacts with customers via email, telephone, or chat to discuss contract manufacturing services and provide basic or customized information in response to routine inquiries, describe customer options, and/or resolve concerns must have excellent customer service. Essential Duties and Responsibilities • Handle inquiries in a timely manner., • Work with the team to look at production needs, slowdowns, peak seasons, etc., • Initiate communication with former and new customers to expand our customer base., • Provide detailed quotes to customers., • Ensure departments are in agreement of the processing of new products., • Ensure customer contracts and/or agreements, terms & conditions, and all other applicable documents are provided to the customer., • Ensure credit applications and/or credit with the company are sent to accounting., • Receive Purchase Orders and applicable documents, i.e., COA (certificate of analysis), • Ensure receipt of product from customer and all applicable documents, i.e., Bill of Lading, packing list, etc., • Ensure the product received from the customer accurately reflects documentation., • Communicate with customers about any discrepancies., • Communicate and schedule with respective departments to ensure that all customer requirements are met in a timely manner., • Ensure Production Dept. has been accurately informed of the customer’s requirements., • Actively follow up with respective departments for status of jobs., • Ensure all necessary testing, if applicable, is completed and cleared for shipping. Ensure approval received from respective parties., • Create and generate all necessary documentation to ship product to customer, i.e., Bill of Lading, packing list, etc. Receive carrier information from the customer., • Executed agreements are sent to accounting for invoicing., • Create and maintain customer master data records., • Track customer services using Excel., • Greet visitors at the front desk, promptly answer incoming telephone calls and emails in a professional manner. During customer visits, provide a tour, reports, and/or assist with resolving matters of concern., • Performs other duties as assigned. Minimum Qualifications (Knowledge, Skills, and Abilities) • High school diploma or equivalent required. Associate degree in business is a plus, • At least two years of customer service experience or sales environment., • Excellent customer service skills., • Must have excellent written, verbal, and presentation skills., • Proficient with Microsoft Office Suite, in particular Excel, Outlook, Word or related software., • Strong attention to detail and sense of urgency., • Strong organizational skills and ability to work independently. Prioritizes various duties and able to handle multiple projects simultaneously. Additional eligibility qualifications • Job requires being pleasant with others on the job and displaying a good-natured, cooperative attitude., • Displays initiative, a willingness to lead, take charge, and offer opinions and direction., • Interact effectively and cooperatively with employees at all levels., • Must be flexible regarding work hours and overtime. Physical Demands and Work Environment • Prolonged periods of sitting at a desk working on a computer., • Must be able to lift up to 10 pounds at times., • Ability to move and work around a production/warehouse setting using appropriate protective equipment as needed., • Occasionally required to execute non-standard physical activities, i.e., climb or balance, stoop, kneel, crouch, or walk.
