GENERAL SUMMARY: This position is an exciting opportunity to join a mission-driven organization dedicated to supporting local children and families facing childhood cancer and blood disorders. The Development Assistant plays a critical role in advancing the organization’s fundraising, marketing, and operational efforts. This individual will work closely with the Executive Director to support donor engagement, manage key systems and data, assist with events and help bring the mission to life through meaningful communication and community partnerships. This position requires strong organizational skills, attention to detail and the ability to handle sensitive and confidential information with care. ESSENTIAL JOB FUNCTIONS: • Support the Executive Director in all functions, • Coordinate and schedule travel, meetings and appointments for the Executive Director, • Prepare agendas, track action items and distribute materials in support of the Executive Director, • Maintain organized digital and physical filing systems, office supplies and equipment with the ability to retrieve information as requested, • Record numerical and financial data to produce financial records, including receipts, accounts payables and payroll-related data, reconciling and reporting differences or issues found in financial records, • Respond to inquiries and provide general administrative support, • Assist in creating promotional materials (flyers, graphics, email content) aligned with organizational branding, • Assist in maintaining the organization’s website to ensure a dynamic and engaging presence, • Assist with email platform, maintaining data health and coordinating content, • Support social media strategy, including content creation, posting and audience engagement, • Coordinate messaging and marketing efforts with external partners, • Support planning, marketing and execution of events, • Support Mission Partnerships by performing duties surrounding relationships: coordinate meetings, facilitate flow of documentation (logos, paperwork, payment, etc.), • Act as organizational “super user” of multiple data systems, maintaining data health, managing flow and generating reports as needed, participating in ongoing platform training to optimize system usage, • Serve as primary support for donor database management, including gift entry, acknowledgment, reporting and data integrity, • Process and reconcile donations from multiple streams and platforms (e.g., Benevity, PayPal), ensuring timely deposits, accurate records and timely acknowledgement, • Assist with donor stewardship efforts, including correspondence and recognition, • Assist in grant preparation by compiling data and supporting materials, • Manage Comfort Kit Program, including inventory, purchasing and coordination with volunteers and hospital partners, • Answer and forward incoming calls and emails. Welcome and direct visitors when necessary., • Performs other duties as assigned. Required Skills & Abilities: • Excellent written and verbal communication skills, • Excellent organizational skills and attention to detail, • Strong interpersonal and customer service skills, • High level of organization and attention to detail, • Ability to manage multiple priorities and work independently, • Proficiency in Microsoft Office and Canva (or similar design tools), • Proficiency in database management and data entry Qualifications: • High school diploma or equivalent required; Associate degree with office administration, business administration or accounting coursework preferred., • Experience in nonprofit development, fundraising or administrative support preferred Physical Requirements: • Prolonged periods sitting at a desk and working on a computer., • Must be able to lift up to 15 pounds at a time.
