Job Description Deal Billing Clerk Department: Vehicle Sales (New & Used) / Finance & Insurance (F&I) The Deal Billing Clerk is responsible for accurately processing all vehicle sales transactions — new, used, and wholesale — from deal jacket receipt through DMS posting and lender funding. This role sits at the intersection of the sales floor, F&I, and accounting, and must balance speed with precision to keep cash flow healthy and the books clean. Reports To Office Manager Direct Reports None New & Used Vehicle Deal Processing • Receive completed deal jackets from F&I and verify all required documentation is present: buyer’s order, credit approval or cash receipt, insurance certificate, odometer statement, factory incentive forms, and all aftermarket product contracts., • Post all new and used retail vehicle sales into the DMS, accurately recording gross profit, F&I income, trade-in allowance, lien payoff amounts, doc fees, and all applicable taxes and government fees., • Reconcile lender funding notifications against deal postings daily; identify and resolve any discrepancies, chargeback notifications, or stipulation holds with the lender or F&I department., • Submit all applicable factory incentive, rebate, and bonus cash claims through the manufacturer’s portal (e.g., Kia Motors, GM’s DealerWorld, Stellantis DealerCONNECT, or equivalent) at time of deal posting., • Maintain an incentive claim log; follow up weekly on pending or unpaid claims; escalate aged or disputed claims to the Controller/GM., • Verify that all F&I product contracts (VSC, GAP, paint protection, tire & wheel, etc.) are accurately reflected in the deal posting and that contract numbers are recorded in the DMS.
