Job Description Job Title: Commercial Operations Coordinator Location: Los Angeles, CA Department: Reports to: Head of Sales Job Type: Full-time/nonexempt Overview: The Operations Coordinator is proactive and highly organized and provides comprehensive administrative and operational support to our sales team. The role plays a crucial role in facilitating smooth sales operations, managing communications, coordinating meetings, collecting data and analytics as well as assisting in various sales-related tasks. The Operations Coordinator reports to the Head of Sales and collaborate closely with the other departments to ensure efficiency and effectiveness in achieving sales targets and KPI’s. Key Responsibilities: • Provide administrative support to the sales team, including calendar management, travel arrangements, and expense tracking for executives., • Assist in preparing and organizing sales presentations, proposals, and reports for clients and stakeholders., • Manage communication channels, including email correspondence, phone calls, and inquiries, ensuring timely responses and follow-ups., • Coordinate and schedule meetings, conference calls, and appointments for sales executives, both internally and externally., • Maintain accurate and up-to-date records of sales activities, customer interactions, and pipeline management using CRM software., • Collaborate with other departments such as marketing, finance, procurement and operations to ensure seamless coordination and support for sales initiatives., • Assist in the coordination of sales events, trade shows, and promotional activities, including logistics and materials preparation., • Conduct research and gather market intelligence to support sales strategies, identify potential leads, and opportunities for growth., • Help organize and put together sales materials and strategic digital packages/assets for the sales teamKey Performance Indicators (KPIs):, • Sales Support Efficiency:, • Timeliness and accuracy in completing administrative tasks, sales presentations, proposals and reports., • Response time to internal and external communications, including emails and phone calls., • CRM Management:, • Accuracy and up-to-date status of customer records, sales activities, and pipeline management in CRM software., • Meeting Coordination:, • Success rate in scheduling and coordinating meetings, conference calls, and appointments with minimal conflicts or rescheduling., • Market Intelligence and Research:, • Quality and relevance of market intelligence reports and research provided to the sales team., • Number of new potential leads or growth opportunities identified through research efforts., • Sales Event Coordination:, • Successful execution of sales events, trade shows, and promotional activities, measured by participant feedback and adherence to timelines., • Cross-Departmental Collaboration:, • Effectiveness in coordinating with marketing, finance, procurement, and operations departments to support sales initiatives. Key Challenges, • Balancing Multiple Priorities: Managing a high volume of tasks and responsibilities in a fast-paced environment, often with tight deadlines., • Communication Across Departments: Ensuring clear and effective communication across multiple departments, particularly when coordinating cross-functional projects., • Staying updated with the latest market trends and company products to provide relevant support., • Maintaining Data Accuracy: Ensuring that all sales data and records are accurate and up to date, particularly in a high-pressure, fast-moving environment., • Supporting Sales Events: Coordinating logistics for sales events and trade shows, which may involve managing multiple vendors, tight schedules, and last-minute changes. Job Knowledge, Skills & Experience, • Bachelor’s degree in business administration, Marketing, or related field preferred., • Proven experience as an administrative assistant, executive assistant, or sales support role, preferably in a fast-paced sales environment., • Experience with adobe suites, social media apps a PLUS, • Excellent organizational skills with the ability to multitask and prioritize assignments effectively., • Strong communication skills, both verbal and written, with a high level of professionalism., • Detail-oriented mindset with a proactive approach to problem-solving., • Ability to work independently with minimal supervision and thrive in a collaborative team environment., • Flexibility to adapt to changing priorities and deadlines in a dynamic work environment., • Multi language speaker a PLUS Key Competencies • Organizational Skills: Ability to manage multiple tasks, schedules, and deadlines with a high level of efficiency and attention to detail.
