Job Description Job Title: Sales Planning and Outsource Coordinator Job Summary: The Sales Planning/Outsource Coordinator is responsible for managing and coordinating the strategic planning, execution, and oversight of sales and reporting operations, as well as leading the outsourcing of product planning and implementation. This role serves as a critical link between the sales, procurement, and operations teams, ensuring smooth, effective coordination to meet business objectives. The ideal candidate will have a blend of sales, operations, business, and project management skills, with an understanding of outsourcing processes and demand planning. Key Responsibilities: Sales Planning: • Sales Forecasting & Planning: Collaborate with the sales team to develop sales forecasts, align production with demand, and establish realistic sales targets. Provide insight into market trends and historical sales data to optimize future projections., • Liaison with HQ: Acts as the primary point of contact between HQ and AFCO, ensuring business planning and execution align with Corporate strategic, procedural, and financial objectives., • Sales Data Analysis: Analyze sales performance, trends, and patterns to guide decision-making. Prepare regular reports for management, outlining sales progress and identifying potential growth areas or concerns., • Inventory & Resource Allocation: Work with the supply chain and inventory teams to ensure that production aligns with sales forecasts and inventory requirements., • Cross-Functional Collaboration: Act as a liaison between sales, operations, and finance teams to ensure that sales plans are properly executed, production meets demand, and financial goals are achieved., • Sales Tools & Systems: Oversee the use of sales management tools, CRM systems, and forecasting software to ensure data accuracy and accessibility. Process Improvement: • Workflow Optimization: Execute, implement, and continuously refine processes to improve the timeliness and efficiency of the sales planning process and procedures., • Data-Driven Decision Making: Use data analytics and insights to recommend improvements to sales planning strategies., • Reporting: Prepare regular reports on sales planning activities, including, but not limited to, dealer performance, sales forecasts, and resource allocation., • Documentation: Ensure all internal documentation related to sales planning is accurately maintained and accessible. Outsourcing Coordination: • Outsourcing Vendor Management: Identify, evaluate, and manage outsourcing vendors, ensuring they meet the company's quality standards and performance goals. In collaboration with the Division VP, negotiate contracts and terms of agreements with vendors to ensure competitive pricing and service delivery., • Performance Monitoring: Develop and track KPIs for outsourcing partners, ensuring that vendors meet agreed service levels, timelines, and quality standards., • Relationship Management: Maintain strong relationships with external outsourcing partners, fostering collaboration and continuous improvement., • Liaison with HQ: Acts as the single point of contact between HQ and external providers, ensuring outsourced work aligns with strategic, compliance, procedural, and financial objectives., • Risk Management: Assess and mitigate risks associated with outsourcing partnerships, including financial, market viability, lead times, supply chain, quality issues, and legal concerns. Education: • Bachelor’s degree in Business Administration, Supply Chain Management, Sales, or related field is preferred, but not required. MBA is a plus Experience: • 3+ years of experience in sales planning, supply chain management, and/or outsourcing coordination., • Experience working with vendors and external partners in an outsourcing capacity., • Familiarity with sales forecasting tools, CRM, and enterprise resource planning (ERP) software. Skills: • Strong project management and organizational skills: able to manage multiple vendors, SLAs, timelines, and budgets simultaneously, with clear prioritization and tracking., • Excellent communication and liaison skills: can translate leadership priorities into clear vendor requirements and relay vendor constraints/risks back in executive‑ready language., • Negotiation and contract literacy: capable of supporting or leading negotiations on pricing, scope, service levels, and change orders while protecting company interests., • Analytical and data‑driven, comfortable building and interpreting KPI dashboards for cost, quality, and service performance, and using data to recommend changes., • Problem‑solving and escalation handling: ability to manage conflicts, resolve service failures, and coordinate corrective actions among HQ teams and vendors., • Advanced-level Microsoft Office Suite with a focus on Excel is key Personal Characteristics: • Strong interpersonal skills and the ability to build and maintain relationships with both internal and external stakeholders., • Ability to work in a fast-paced environment and handle multiple projects simultaneously., • Detail-oriented and methodical in managing both sales planning processes and outsourcing tasks., • High flexibility and resilience: handles ambiguity, shifting priorities, and pressure typical of outsourced operations without loss of quality or composure., • Collaborative mindset: builds trust with both internal teams and vendors, fostering a partnership culture rather than a purely transactional one Working Conditions: • Standard office environment with occasional travel for vendor management and on-site evaluations., • Flexibility in working hours, particularly during peak sales planning periods or when managing project or reporting deadlines.
