This position serves as a dedicated Executive Assistant and Multimedia Coordinator for a senior leader based in New York. The role combines traditional executive-support responsibilities such as managing calendars, taking meeting notes, and coordinating travel and accommodations with modern content and communication tasks. Role Overview The Executive Assistant and Multimedia Coordinator will attend in-person and online meetings, capture videos and photos when needed, and prepare presentations and work-related documents. The successful candidate will thrive in a dynamic environment, demonstrate professionalism and discretion, and be willing to travel both domestically and internationally alongside the executive. Key Responsibilities: • Calendar & Schedule Management - Personal Assistant responsibilities include tassks such as managing the executive's personal calendar, coordinating personal events, and handling arrangements for visiting family and friends, especially during holidays, vacations or special occasions., • Maintain and manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements., • Ensure timely reminders and follow-up on deadlines and commitments., • Meeting Support, • Attend both in-person and online meetings to take detailed notes and action items., • Prepare agendas, briefing materials, and follow-up documents., • Travel Coordination, • Arrange domestic and international travel and accommodations., • Develop comprehensive itineraries, including flight, lodging, and transportation arrangements., • Content Capture, • Shoot videos and photos during events, meetings, or other work-related occasions, ensuring high-quality content for internal or external use., • Presentation & Documentation, • Create compelling presentations using software such as PowerPoint, Keynote, or similar., • Draft and edit reports, proposals, and other professional documents., • Accompany Executive, • Accompany the executive on travel to provide on-site support, coordination, and content capture., • Minimum 2 years of professional experience in an administrative, executive assistant, or coordination role., • Master's degree in Technology, Marketing, Communication, or a related field preferred; equivalent experience considered., • Startup experience in Tech preferred., • Strong organizational and time-management abilities., • Excellent written and verbal communication skills., • Proficiency in presentation software and multimedia capture (videography/photography)., • Ability to manage multiple tasks and projects simultaneously in a fast-paced environment., • High level of discretion and professionalism., • Willingness to travel as required. Compensation offered will be determined by factors such as location, level, job-related knowledge, skills, and experience.
