Job Description SUMMARY Provides high-level administrative support to senior leadership within a fast-paced, globally focused business environment. This role requires strong organizational skills, discretion, and the ability to manage multiple priorities while handling confidential information and interacting with stakeholders across various functions. RESPONSIBILITIES • Manage complex calendars, scheduling meetings and appointments based on priority, • Draft, edit, and prepare professional correspondence, reports, and presentations, • Coordinate domestic and international travel arrangements, meetings, and virtual conferences, • Prepare and submit expense reports accurately and within required timelines, • Screen and prioritize incoming calls, emails, and correspondence, responding or escalating as appropriate, • Maintain organized filing systems, records, and departmental documentation, • Coordinate internal and external meetings, including logistics, materials, and minutes, • Act as a liaison between leadership and internal/external stakeholders to ensure effective communication, • Support recruitment activities, onboarding, and departmental setup for new hires, • Create and maintain process documentation, organizational charts, and workflow systems, • Track departmental data and maintain databases for reporting and analysis, • Assist with planning and execution of meetings, events, and business functions, • Conduct research, gather data, and prepare reports with recommendations, • Lead or assist with special projects, ensuring timely completion, • Provide administrative leadership or guidance to other support staff when needed, • Coordinate IT-related needs, including equipment and system updates, • Manage purchasing activities, including supplies and expense tracking, • Improve administrative processes to enhance efficiency and workflow, • Oversee office and facility-related needs such as space and equipment planning, • Exercise independent judgment in prioritizing communications and tasks in leadership’s absence, • Perform additional duties as assigned QUALIFICATIONS • High school diploma or equivalent required, • 8 years of administrative experience, • At least 3 years supporting senior or executive-level leadership, • Experience working in a global or multi-regional environment preferred, • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.), • Excellent written and verbal communication skills, • Proven ability to manage multiple priorities and meet tight deadlines, • Strong organizational, time management, and problem-solving skills, • Ability to work independently and collaboratively within a team environment, • Experience with contracts administration is a plus, • Demonstrated ability to maintain confidentiality and exercise sound judgment WHAT’S IN IT FOR ME • Opportunity to support senior leadership in a dynamic, global organization, • Exposure to high-level business operations and strategic initiatives, • Collaborative and professional work environment, • Hybrid work flexibility, • Opportunity to take ownership of projects and drive process improvements Company DescriptionWith over thirty-five years of Recruiting, Staffing and HR Consulting experience providing nationwide service to many of the largest organizations in the country, Spectrum has achieved a level of experience and expertise that benefits our clients, candidates and contractors.
