Job Description Chaminade College Preparatory is seeking an Executive Assistant. The position will report directly to the Chief of Staff and the Vice President of Mission and Strategic Initiatives, and provide high-level administrative support. Works independently, performing a wide range of complex and confidential administrative and clerical support. Requires excellent verbal and written communication and interpersonal skills. Must also be able to provide information and assistance to a multitude of internal and external contacts and support school and department policies and procedures. Duties and Responsibilities: • Provides a wide range of complex and confidential administrative and clerical support to the Chief of Staff in the Office of the President and the Vice President of Mission and Strategic Initiatives., • Serves as the main point of contact for managing complex calendaring and travel arrangements for the President, on behalf of the Chief of Staff, and the Vice President of Mission and Strategic Initiatives., • Manages all-employee events, including contracting, budgeting, catering, facilities requests, RSVP collection, and program development and implementation. May also organize events for the Executive Council and Board of Directors in conjunction with the Chief of Staff., • Coordinates the new employee retreat and continued education formation for all employees in conjunction with the Vice President of Mission and Strategic Initiatives., • Coordinate Executive Council and Cross-Campus Administration meetings, and other meetings as assigned, by reserving conference rooms, preparing agendas, ordering catering, and taking notes., • Monitors departmental budgets, including tracking expenditures, providing reports, reconciling credit cards, and requesting invoice payments., • Serves as principal contact and source of information for constituents of the departments, including faculty, staff, and administration. Serves as a secondary contact for the Executive Council, Board of Directors, Board committees, donors, and parents as assigned., • Performs project-based research and summarizes findings., • As implemented by the Offices of the President and Mission and Strategic Initiatives, upholds departmental office systems and procedures., • Interprets and communicates policies and processes., • Reviews, assesses, routes, answers, and monitors follow-up actions on correspondence., • Gathers and analyzes information required for administrative reporting., • Provides a wide range of support, including composing and editing letters, memoranda, reports, presentations, and proposals., • Writes and prepares copy for publication or submission of proposals and/or reports., • Uses multiple technical applications, including word processing, database management, spreadsheets, graphics, presentation software, electronic calendar, email, and other technical/scientific applications., • Answers and routes phone calls, mail, and email messages, and may handle wide-range information dissemination., • Purchases and maintains inventory of supplies for the offices., • Bachelor's degree required., • Valid California Driver's License without stipulations., • Five years or more of experience in office administration, customer service, and/or event management., • Must be able to work with confidential information and always maintain confidentiality., • Possess strong verbal and written communication and interpersonal skills with experience providing complex support in a high-profile environment with tact and diplomacy., • Experience managing a budget and multiple deadlines., • Solid working knowledge of office processes and business policy development, and of related computer software and electronic communications tools – Microsoft Suite, including Office, is preferred, • Work across teams and with a variety of projects and constituencies., • Operate a personal computer, calculator, and standard office equipment., • Read, interpret, apply, and explain rules, regulations, policies, and procedures., • Meet schedules and timelines., • Maintain records and prepare reports., • Establish and maintain effective working relationships with others., • Respect for and support of the Catholic Church's teachings and the Marianist identity of Chaminade College Preparatory.
