We are seeking a dynamic experience Executive Assistant to the CEO to provide high-level administrative, operational, and strategic support to the Chief Executive Officer. The successful candidate is responsible for providing comprehensive administrative support, handling special projects, and assisting with project preparation and presentations. Bronx Community Health Network (BCHN) was founded in 1996 to ensure that the socio-economically depressed and medically underserved residents of the Bronx have access to high-quality and comprehensive healthcare services, Bronx Community Health Network (BCHN) is a not-for-profit, community-based organization and Federally Qualified Health Center. The organization provides a wide range of comprehensive, coordinated primary medical, oral, and mental health care and related diagnostic, pharmacy, social support, and enabling services for medically underserved/uninsured residents. BCHN’s mission is to improve the health of people and families in the Bronx; provide access to affordable, quality health care, especially for uninsured people; promote disease prevention, early treatment and healthful lifestyles; and obtain financial and other resources for programs and services. BCHN’s service area includes the entire borough of the Bronx, including all 25 zip codes. Within this area, Health Center sites focus on the low-income and underserved populations. The Executive Assistant to the CEO provides high-level administrative, operational, and strategic support to the Chief Executive Officer. This role serves as a critical liaison across the organization, ensuring that the Executive Office operates with efficiency, clarity, and professionalism. The Executive Assistant will demonstrate exceptional communication skills, sound judgment, strong organizational capabilities, and the ability to manage sensitive information with absolute discretion. Responsibilities: • Manage and prioritize the CEO’s calendar, ensuring efficient and strategic use of time., • Coordinate all meetings, appointments, travel arrangements, and logistics., • Track and follow up on action items, deadlines, and outstanding deliverables., • Serve as the primary point of contact for internal and external inquiries directed to the CEO., • Draft, edit, and prepare professional communication, including emails, memos, presentations, and reports., • Facilitate effective communication between the CEO and senior leadership team., • Prepare briefing materials, agendas, and supporting documents for meetings., • Support board of directors’ activities, including scheduling, materials preparation, minutes, and logistics., • Assist in coordinating leadership meetings, retreats, and cross-department communications., • Maintain organized digital and physical filing systems for Executive documentation., • Assist with budget preparation, expense reports, and reimbursement submissions., • Provide administrative support for strategic initiatives and special projects assigned by the CEO., • Conduct research, compile data, and prepare summaries or briefing notes as needed., • Track progress on organizational goals and contribute to project planning and execution., • Handle highly confidential information with discretion and integrity., • Represent the CEO’s office with professionalism, tact, and sound judgment in all interactions. Qualifications: • Bachelor’s degree required, • Experience supporting senior executives, preferably in a nonprofit or health care setting., • Strong organizational and time-management abilities, prioritizing competing demands., • Experience managing complex calendars and supporting C-suite level leaders., • Demonstrated strong analytical and problem-resolution skills. Skills & Competencies • Exceptional written and verbal communication skills, • High level of proficiency with Microsoft 365 and collaboration tools., • Ability to multitask in a fast-paced, growing environment effectively and efficiently., • Work independently, anticipate needs, and adapt to changing priorities., • Demonstrates the highest level of confidentiality., • Ability to work independently, anticipate needs, and exercise sound judgment., • Excellent decision-making ability and exceptional organizational skills., • Strong attention to detail and commitment to accuracy, • Experience coordinating board activities oar executive-level meeting is a plus Physical Demands/Working Conditions • Sits and walks throughout the day., • Subject to many interruptions., • Must be able to function in a highly stressful environment., • Job tasks are performed in close physical proximity to other people, • May spend many continuous hours at a desk and working from a computer. Salary Range: The base salary range for this position is $85,000 – 100,000 annually. The total compensation for the finalist selected for this role will be determined based on various factors, including but not limited to scope of role, level of experience, education, accomplishments, internal equity, budget, and subject to Fair Market Value evaluation. The base salary range listed above is a good faith determination of potential base compensation at the time of this job advertisement and may be modified in the future. This role is hybrid, requiring three (3) days per week in the office. The remaining two (2) days may be worked remotely. Specific in-office days will be discussed during the interview process, with flexibility to align with team needs. Please note that the number of required in-office days may be adjusted over time, potentially increasing the number of required in-office days based on business needs.
