Job Summary: The Community Roots Housing Foundation is a 501(c)(3) public charity mobilizing funds for Community Roots Housing and their designated partners, co-located and functionally integrated with Community Roots. The Foundation raises approximately $1 million annually to support Community Roots’ operations and programs and is also the backbone organization for a $45 million collaborative capital campaign. Organizational communications are also housed within the Foundation department. The Communications &Operations Coordinator is an enthusiastic team member of the Community Roots Housing Foundation, reporting to the Communications Manager. They provide social media coordination, email support, and assist with the implementation of marketing, advertising, and promotional strategies for the organization and our buildings. They also work closely with the Events and Operations Manager to support monthly reconciliation, manage the general ledger and CRM database, and assist in planning and executing our two major annual fundraisers. In addition, they provide general administrative support to the department. Duties and Responsibilities: COMMUNICATIONS Email marketing: · Be our MailChimp champion: execute end-to-end email marketing campaigns, from content to delivery and analysis. · Monitor and analyze KPIs such as open rates, CTR, conversions, and unsubscribes. · Collaborate with the Communications Manager on email designs and enhancements of templates. · Identify opportunities for email optimization and implement A/B testing to enhance performance and engagement. Social media: · Manage day-to-day operations of social media with direction from the Communications Manager. · Create compelling, platform-optimized content and social media campaigns across LinkedIn, Instagram, and Facebook, including short-form videos. · Stay up-to-date with the latest social media trends, tools, and standards. · Monitor social media channels and business profiles for potential issues and opportunities; respond to social comments and reviews in accordance with SOPs. Content: · Take photos and conduct interviews with stakeholders and project partners to share across owned channels. · Create graphic and short-form video assets for social media and other channels from site visits, building tours, interviews, events, and more. · Assist with content updates to Wix and WordPress websites. · Use Adobe Creative Cloud and Canva to create assets as needed. · Draft and proofread organizational communications, including emails, social media posts, web pages, flyers, event materials, slide decks, and other collateral. Departmental support: · Conduct research and attend trainings on various topics as assigned. · Create and update marketing and media reports for the team. · Assist with the creation and organization of Community Roots’ asset library. · Document various processes and SOPs and maintain file management conventions. OPERATIONS Finances: · Assist in the reconciliation process between the general ledger (QuickBooks) and CRM database (Salesforce) monthly. · Enter constituent and gift data in our CRM database (Salesforce). · Enter bookkeeping data on financial transactions in accounting software (QuickBooks). · Manage and track accounts payable; communicate with vendors regarding bills; manage credit card expenses. · Manage and track accounts receivable; run monthly outstanding payables staff meetings and follow up on pledged gifts to secure payment. · Lead invoicing and follow up on all accounts receivable. · Make weekly check deposits at our main Seattle office. · Work with PDA Admin staff to ensure timely and accurate reports of check receipts. · Generate reports in accounting and CRM software as needed. · Support data management efforts, including but not limited to routinely reviewing our databases for duplicate accounts and contact records and merging as necessary. · Participate in trainings and discussions of financial processes and procedures designed to improve understanding and ensure knowledge of financials across the team. Events: · Lead guest recruitment tracking with board members and sponsors and field registration questions. · Maintain an accurate inventory of event supplies for easy event set-up. · Provide logistical and administrative support for all fundraising and community engagement events, including our two annual fundraisers, donor cultivation events, groundbreaking, and ribbon cuttings. · Assist with venue booking, vendor coordination, and provide day-of event support including registration, set-up, and breakdown. · Track and manage event-related expenses. · Support post-event analysis, including thank-you communications and reporting. · Provide other event-related support as assigned. Administrative support: · Lead the scheduling, minute-taking, and material preparations for meetings. · Procure supplies and collateral production for the Foundation. · Provide general administrative support to the Foundation in all areas as needed. On occasion, provide organization-wide administrative support. · Provide other administrative support as assigned. Other duties as assigned. Requirements: Minimum Qualifications: · Experience with data entry, databases, financial reconciliation of bank accounts, and Quickbooks bookkeeping software · Experience with Salesforce, email marketing, and social media management · Experience with video editing for social media and familiarity with graphic design through Adobe Creative Cloud or Canva · Demonstrated ability to manage deadlines and competing priorities; and maintain high standards for accuracy and productivity · Track record of taking initiative, creating tools, solving problems, and staying organized in a fast-paced environment · Proficient in Microsoft Office applications, experience using video meeting software Preferred Qualifications: · Has a sense of humor · Quick learner who is eager to experiment, learn new things, and own projects · Experience with MailChimp and Hootsuite · Have worked on events with 200+ attendees · Experience using detailed SOPs and workflows · Familiarity with financial reporting and financial basics To apply: Please submit a cover letter, resume, and two work samples of the best performing social media content you’ve created (personal or professional).
