Job DescriptionThe HR & Payroll Administrator serves as a resource for employees and managers regarding payroll, HR policies, benefits, and employment compliance while maintaining the highest level of confidentiality and professionalism. Job Responsibilities Payroll Administration • Process semi-monthly payroll accurately and on time for all employees, including regular hours, overtime, commissions, bonuses, sick/vacation time, and adjustments., • Review and audit timecard submissions for completeness and accuracy; follow up with managers regarding missing punches, approvals, or discrepancies., • Ensure compliance with California wage and hour laws, including overtime, meal and rest break requirements, and final paycheck regulations., • Prepare and reconcile payroll registers, payroll reports, and general ledger payroll entries., • Compile employee time, production, and payroll data from time sheets and other records., • Issue and record payroll adjustments related to prior errors, retroactive increases, or corrections., • Maintain payroll records for active employees and terminations in accordance with record retention requirements., • Coordinate with HR and department managers regarding new hires, terminations, pay changes, benefit deductions, and status changes., • Ensure accurate calculation and remittance of payroll taxes, garnishments, benefits deductions, and other withholdings., • Assist with payroll audits and provide required documentation., • Provide timely and professional support to employees regarding payroll inquiries. HR Administration & Compliance • Maintain employee personnel files and HR documentation in compliance with federal and California recordkeeping requirements., • Track employee compliance items such as licenses, certifications, training requirements, I-9 documentation, and policy acknowledgments., • Monitor and maintain compliance with California labor laws, FLSA, wage and hour regulations, and other employment regulations., • Stay informed of changes in federal, state, and local employment laws and notify leadership of regulatory updates that impact company policies or payroll practices., • Assist with HR audits, compliance reviews, and reporting requirements. Recruitment & Onboarding Support • Assist with recruitment activities, including posting job openings, coordinating interviews, and communicating with candidates., • Support the new hire onboarding process, including preparing hiring paperwork, verifying documentation, and entering employee information into HR/payroll systems., • Coordinate onboarding schedules and ensure completion of required employment documentation., • Maintain job descriptions and support updates in partnership with management. Benefits & Employee Support • Assist with the administration of employee benefit programs, including enrollments, deductions, and employee communications., • Support employee inquiries regarding benefits, compensation, payroll, and HR policies., • Track employee leave balances including vacation, personal, and sick time., • Assist with benefit documentation and reporting requirements as needed. Reporting & Process Improvement • Prepare HR and payroll reports for leadership as requested., • Identify opportunities to improve payroll accuracy, HR processes, documentation, and internal controls., • Build strong working relationships across departments to proactively resolve payroll or HR-related issues and ensure timely follow-up. General Responsibilities • Maintain strict confidentiality of payroll, employee, and company information., • Partner with managers and supervisors to ensure accurate timekeeping practices and compliance with company policies and California labor laws., • Perform other duties as assigned.
