Position Overview The Office Manager plays a central role in ensuring the smooth day-to-day operation. Acting as the operational hub of the Paris office, this individual supports sales and private markets teams, coordinates across departments, and maintains a professional, efficient, and compliant working environment. The ideal candidate combines strong administrative expertise with a solid understanding of the asset management industry. Key Responsibilities Office Operations & Administration: • Oversee daily office operations including facilities, supplies, and vendor management., • Ensure front of house duties are always maintained and the office is set up, tidy and ready to welcome clients and guests every day., • Travel management, in co-ordination with travel agency or directly - e.g. flights, trains, hotels, restaurants and taxis., • Manage relationships with external service providers (cleaning, maintenance, waste management, etc.) Administrative follow-up: insurance policies, subscriptions, contracts., • Invoice management and budgets updates for the Paris office, liaising with Finance team in London and New York., • Manage holiday/absence tracking and provide monthly reports to HR and Country Manager., • Support onboarding of new hires, including workspace setup and induction coordination., • Support employees with day-to-day office needs: IT/workspace, travel, printing, conference calls and more., • Work cross‑functionally with HR, Finance, IT, Legal, and external partners. Business Support: • Assist the sales team with client servicing, reporting and regulatory requests., • Regularly update marketing materials, including translating documents from English to French., • Create marketing material to present products for specific requests and liaise with Compliance to seek approval for marketing documents., • Organise and coordinate client events/conferences in France, Belgium, Luxembourg and Monaco., • Support and assist local PR agency. Experience, Qualifications and Attributes • Familiarity with asset management terminology, fund structures, and regulatory frameworks., • Team player, able to integrate and thrive in a dynamic, fast-paced environment as part of a global team., • Excellent command of both English and French, with strong written proficiency in both languages., • Analytical and detail-oriented approach to work., • Excellent organisational and interpersonal skills., • Strong communication skills, both internal and external., • Proficient in Microsoft Office Suite: Word, Excel, and PowerPoint.
