Role overview We are expanding our Commercial Operations function, including finance and collateral movement, to support increasing transaction volume and complexity. The Operations Executive will act as the central owner of post-sale execution, managing the physical lifecycle of artworks from intake through to final delivery. This role offers end-to-end exposure across auctions, private sales, and direct consignments within a channel-agnostic model. You will coordinate closely with clients, logistics partners, and internal teams to ensure seamless execution and a consistently high-quality client experience. Key responsibilities:Transaction Execution & Logistics • Own the execution of post-sale workflows across all transactions spanning a variety of trade avenues such as auctions, private sales, and direct channels, • Coordinate domestic and international shipping, including sourcing quotes and selecting optimal logistics partners, • Manage packing, transport, storage, and installation requirements where applicable, • Track shipments end-to-end, ensuring timelines and delivery expectations are met Client & Stakeholder Coordination • Act as a key point of contact for buyers, sellers, and logistics partners post-sale, • Provide proactive updates on transaction status and shipment progress, • Coordinate across internal teams (Advisory, Finance, Compliance) to ensure smooth executionArtwork Intake & Verification, • Support artwork intake processes, including documentation checks and condition verification, • Ensure all artworks are accurately logged and recorded within internal systems, • Maintain oversight of inventory and storage organisationOperational Support & Reporting, • Maintain accurate records of all transactions within CRM and internal tools, • Support reporting on transaction progress and operational performance, • Identify process inefficiencies and contribute to workflow improvementsWorkspace & Artwork Environment Management, • Maintain a clean, organised, and presentable office environment, reflecting Artscapy’s brand and client standards. Liaise with the cleaning company and contractors., • Oversee the display and rotation of artworks within the office, ensuring works are properly installed and presented at all times, • Support the handling and internal movement of artworks in line with best practice Development path This role offers progression within Commercial Operations, with scope to develop into a broader Operations or Transaction Management position. The successful candidate will gain exposure to cross-functional workflows, including logistics, client operations, and transaction execution, with increasing ownership over time. What we look for • 1–3 years’ experience in logistics, operations, or client coordination (art market or luxury sector preferred), • Strong organisational skills with the ability to manage multiple concurrent workflows, • High attention to detail and a structured approach to execution, • Clear and professional communication skills, both written and verbal, • Proactive, self-motivated, and comfortable operating in a fast-paced environment, • Ability to work cross-functionally with internal and external stakeholdersWhat we provide, • Exposure to the operational backbone of a fast-growing collection management platform, • Hands-on experience across the full lifecycle of art transactions in a channel-agnostic setting, • Opportunity to work closely with commercial, advisory, and logistics teams, • A collaborative, ambitious, and high-performance team environment based in London, • Salary: £32,000–£40,000 depending on experience
