Together, we're building a better future.We are recruiting a Facilities Officer to support the smooth, safe and efficient running of our Black Horse Road office. From welcoming office environments to collaborative workspaces, you'll help ensure our facilities remain safe, professional and enjoyable places to work for everyone who uses them. You will support day - to - day building operations, health and safety checks, contractor coordination, office support tasks and general workplace management.You will act as a first point of contact for colleagues using the building, responding promptly to issues, monitoring service standards and helping ensure the office remains safe, compliant and well presented.Key responsibilitiesSupport the Facilities Manager with day - to - day building operations, responding to requests and raising work ordersCarry out routine health and safety checks including fire alarm tests, emergency lighting inspections, cleaning audits, workstation assessments and daily building walk - throughsEscalate risks and maintain accurate documentationRaise purchase orders, check invoices and ensure timely paymentLiaise with contractors to schedule and oversee reactive and planned maintenanceMaintain facilities records including asset registers, compliance logs, permits - to - work and contractor sign - insAct as a friendly, professional first point of contact for colleagues and visitorsSupport the facilities helpdesk and provide updates on outstanding actionsAssist with office moves, furniture setups, space utilisation checks and ensuring communal areas remain tidy and well presentedSet up meeting rooms and liaise with IT where requiredSupport access card management, visitor processes and basic security checksMonitor stock levels for essential items including stationery, first aid, cleaning and kitchen suppliesAssist with emergency situations such as evacuations or building incidentsIdentify opportunities to improve facilities processes and workplace experienceProvide ad - hoc reception cover when requiredSupport post room operations including scanning, distribution and courier coordinationMaintain accurate visitor records in line with health and safety and fire regulationsSafely handle cash and cheques, ensuring they are accounted for and delivered securelyAssist with general facilities tasks such as flat - pack furniture assembly and low - risk maintenanceOur expectations· A well r un, safe and compliant office environment· Prompt response to facilities issues and colleague requests· Accurate record - keeping and audit - ready documentation· Strong contractor coordination and minimal disruption to building users· High standards of presentation across meeting rooms and communal areas· Clear communication with colleagues, visitors and contractors· Proactive identification of risks, improvements and efficiency opportunitiesAbout youEssential experienceExperience working in facilities, building support, customer service or an operational roleExperience coordinating contractors or maintenance tasksExperience handling day - to - day building queries and office support activitiesExperience working in a large office environmentExperience supporting compliance checks such as fire alarm tests or inspectionsGood general understanding of facilities management principlesBasic knowledge of health and safety requirements including fire safety and risk assessmentsFamiliarity with building systems such as HVAC, electrical, security and access controlStrong organisational skills and ability to manage multiple tasksExcellent communication and interpersonal skillsGood problem - solving ability and practical approachConfident using IT systems including Microsoft OfficeAbility to work independently and as part of a wider teamAbility to interpret simple technical informationProactive, reliable and flexible with a hands - on approachProfessional and approachable, able to build positive relationshipsStrong attention to detail and pride in maintaining a high - quality workplaceCalm under pressure and able to respond effectively in emergenciesCommitment to safety, service excellence and continuous improvementDesired experienceIWFM Level 2 or 3 qualification (or working towards)IOSH Working Safely or Managing Safely certificationExperience supporting office moves or space planningBenefitsAt SettleParadigm, we believe in creating an environment where our people feel valued, supported, and inspired to grow.
