Key Responsibilities: Administrative & Security Responsibilities: * Greet and assist visitors professionally and efficiently. * Handle visitor inquiries and sign-ins providing inductions and safety guidance as needed. * Maintain a safe organised and presentable reception area in line with procedures and regulations * Manage security access card issuance and maintain accurate records. * Maintain site induction records and conduct visitor inductions. * Coordinate room bookings hotel accommodations hire cars and taxis. * Assist with hire car drop-offs and collections. * Handle general inquiries phone calls incoming emails and site calendars. * Provide basic IT support including guest Wi-Fi access. * Order and manage office supplies and resources. * Ensure meeting rooms are set up monitored and maintained throughout the day. * Book meeting rooms and maintain records. * Administer key management systems (TRAKA). * Perform general administrative tasks (photocopying shredding filing etc.). Security-Specific Responsibilities: * Monitor and maintain the visitor management system (VMS). * Conduct regular audits of access control systems. * Issue and track vehicle passes. * Assist with security planning including guard routes and patrol schedules. * Conduct bag and post searches as needed. * Support security briefings and training sessions. * Assist with person and vehicle searches when required. * Organise and maintain security-related paperwork. * Coordinate guard equipment needs (e.g. chairs tables and other resources). Qualifications : Job Essentials: • Experience in office administration and in a reception position., • Driving licence and access to own vehicle, • Willingness to train to achieve SIA licence after probation period or to currently hold an SIA licence, • Good IT skills and ability to learn new IT systems, • Strong communication skills both written and verbal, • Flexible and adaptable, • Customer focused, • Be able to work independently as well as part of a team, • Be punctual and reliable Additional Information : All your information will be kept confidential according to EEO guidelines.
