You will oversee HR operations, policies, and compliance while fostering a supportive and inclusive workplace culture. This role requires balancing strategic HR planning with hands-on operational responsibilities, including employee relations, performance management, and safeguarding best practice. You will be instrumental in supporting our staff while ensuring our HR practices align with Chaotic’s mission, values, and growth objectives. Key Responsibilities HR Strategy & Operations • Develop and implement HR strategies, policies, and procedures that support organisational goals., • Ensure compliance with employment law, safeguarding requirements, and HR best practices., • Manage employee lifecycle processes including recruitment, onboarding, contracts, probation reviews, and offboarding., • Work closely with Senior Management to design workforce planning and succession strategies., • Collaborate with Finance to oversee payroll accuracy, pensions, and benefits administration. Recruitment & Talent Management • Lead recruitment campaigns, ensuring inclusive practices and effective candidate pipelines., • Manage job design, role profiles, and salary benchmarking., • Develop retention strategies and support career progression pathways across the organisation., • Oversee induction processes to ensure a smooth integration of new staff into Chaotic’s culture and systems. Employee Relations & Performance • Act as the first point of contact for employee relations matters, providing impartial advice and resolution support., • Support managers with performance management, capability processes, and disciplinary or grievance cases., • Lead initiatives to strengthen employee engagement, wellbeing, and organisational culture. Learning & Development • Identify training and development needs across the workforce., • Create and manage training plans that support staff growth, compliance, and service delivery standards., • Facilitate workshops, learning programmes, and leadership development. Monitoring & Reporting • Maintain HR systems and ensure accurate personnel records, data protection, and reporting., • Monitor and report on HR KPIs such as staff retention, diversity, absence, and engagement., • Provide regular updates to Senior Management on HR metrics and workforce insights. Key Skills & Requirements Essential • Proven experience in HR management or senior HR advisory roles., • Strong knowledge of UK employment law, HR policy, and safeguarding requirements., • Experience in recruitment, employee relations, and performance management., • Strong communication, mediation, and interpersonal skills., • Organisational skills with the ability to balance strategic and operational priorities., • Commitment to diversity, equity, and inclusion in the workplace., • Hybrid working flexibility, with the ability to attend the Redhill office 3 days per week. The Role Working across all Group companies, the People & Talent Advisor will be responsible for working with the Chief People Officer to ensure a smooth employee lifecycle experience and support the delivery of the people strategy. You’ll be responsible for the end-to-end employee lifecycle. Acting as the first point of contact for new hires by drafting employment contracts, organising onboarding and managing queries. You will continue to be there for employees throughout their employment by answering queries regarding annual leave, sickness and general employment. You’ll also be there when employees choose to move on from the group by acknowledging their resignation, triggering their exit interview survey and supporting managers with communications to the wider team. You’ll have the opportunity to develop your employment law knowledge by supporting with note taking and letter writing for performance, disciplinary and grievance cases, eventually taking ownership of your own employee relations cases. In addition to the employee lifecycle and employee relations you’ll have a keen interest in candidate attraction. You’ll be responsible for drafting job descriptions and adverts (like this one), posting adverts to relevant forums and conducting CV screenings and first stage telephone interviews. You’ll liaise directly with hiring managers to manage the interview process and think creatively to suggest new ideas and ways of working, with a focus on increasing diversity and inclusivity in our hiring process. Last but not least, you’ll have a passion for learning & development. You’ll be responsible for working with people managers and business leaders to understand training needs; harnessing the internal knowledge we have to design and deliver training content to Recruitment Consultants and people managers. You’ll take ownership for learning initiatives such as ‘Creating time’, a bi-monthly learning series and promoting and encouraging engagement with our LMS. What do we want from you? We believe this is a great role for someone ambitious, who wants to learn and grow within a truly generalist people and talent role. You will have the opportunity to make this role your own and bring new ideas and ways of working to the team. You will need to have exceptional attention to detail, be tech-savvy enough to manage and configure new features in HiBob, and have a willingness to learn and develop. We believe in hybrid working and that spending time together as a team is just as important as having uninterrupted focus time. Therefore, this role will be based in our Redhill office at least two days per week (Tuesday and Thursday), with the remainder of the days for you to choose where you work best. This could be at home, in the office, a café or co-working space. We are also open to part-time working for this role, for a minimum of 3 days per week or 5-hours across 4-5 days. Responsibilities People Operations • Take responsibility of the full employee lifecycle, including but not limited to onboarding/offboarding, benefits administration, managing leave, family-friendly and manager and employee queries., • Act as note-taker and draft letters in employee relations processes., • Support the CPO in collating the monthly payroll report, with a view to taking full ownership for this as the post-holder develops. Training & Development • Conduct regular training analyses with people managers to identify training gaps and needs., • Oversee and review quarterly people & development review feedback to proactively identify training needs and develop a plan for addressing these with line managers., • Extract knowledge to design and deliver training content as needed (in-person and virtual), with particular employment law focus on the Employment Rights Bill and EU Pay Transparency Directive., • Coordinate the ‘Creating time’ initiative to encourage employees to take time to focus on their learning & development and increase knowledge sharing within the organisation., • Seek feedback on content and delivery strategies to ensure training is fit-for-purpose and delivering ROI within the organisation. Working with people managers and leaders to determine metrics for measuring success. Recruitment • Be responsible for the full recruitment lifecycle from advertising, to sourcing and conducting initial screening calls, to giving feedback and onboarding. The HR Manager collaborates closely with the Finance Manager to deliver exceptional HR services and support throughout the business, encompassing payroll and pay reviews, while maintaining meticulous attention to detail and data accuracy. Your Responsibilities Talent Acquisition: • Support and advise hiring managers on recruitment processes and best practices., • Revise job descriptions and publish vacancies on ATS and other platforms., • Liaise with recruitment agencies as appropriate., • Coordinate the appointment process for successful applicants (employment contracts, onboarding documentation, right-to-work checks, references, etc.)., • Support line managers during probationary periods. People Operations: • Own the company's performance management frameworks and be responsible for ensuring it’s adhered to and delivered across the business consistently. This includes working with managers to build development plans for their team and create a learning culture across engineering, helpdesk, and support staff., • Manage the employee lifecycle in line with company policies and processes (onboarding, offboarding, family-friendly policies, etc.)., • Drive excellence and efficiency with people processes (Starters, leavers, contractual changes, absence management) so that all processes are completed accurately and on time to meet finance deadlines., • Support with the people inbox and escalate queries to the appropriate level for resolution., • Create and maintain accurate and up-to-date HR templates, scripts, and documentation., • Deliver the implementation of people agenda initiatives and ensure continuous enhancement of people-related processes., • Support other people processes as appropriate (annual appraisals, contract changes, etc.)., • Manage holiday requests, including quarterly reporting and monitoring during busy periods., • Assist with reviewing and drafting new or existing policies., • Manage all absences, including sickness, family leave, and jury service., • Lead the company's succession planning process and identify skills gaps using a regular analysis process., • Monitor and influence staff engagement and lead retention strategies., • Overseeing the recruitment process to ensure new starters are being brought into the business in line with the company's performance criteria and salary bandings. Employee Relations • Advise managers on HR policies, procedures, and best practices, escalating complex issues when needed., • Professionally manage employee relations issues end-to-end, including performance, attendance, disciplinary, and grievance matters, ensuring fairness and consistency. HRIS & Payroll: • Ensure HRIS BrightHR/Atom and payroll databases are accurate and up to date., • Support with the collation of payroll information with finance in a timely manner., • Support with the development of the HRIS., • Provide timely input on people analytics, data insights, and reporting. Culture and People Experience: • Responsible for coordinating internal communication and company updates., • Coordinate quarterly employee gatherings and events., • Proactively identify opportunities and implement solutions to foster a positive working culture and improve employees' experience. Training and Development • Oversee the training programs for HVAC and fire/smoke system technicians, ensuring they remain up-to-date with the latest industry standards, safety certifications, and technological advancements., • Ensure employees, especially engineers, receive mandatory health and safety training (OSHA, fire safety protocols, etc.)., • Develop or source training programs to improve communication, customer service, teamwork, and management skills for office employees., • Coach, train, and develop line managers to be the best for their team and show them how to manage challenging conversations effectively., • Hold managers accountable for their roles and responsibilities. Health and Safety Compliance • Ensure the company adheres to all industry-specific regulations, including HVAC, fire, and smoke systems, as well as general workplace health and safety standards., • Conduct regular safety audits, develop risk management plans, and ensure all engineers are equipped with necessary PPE (personal protective equipment) for on-site work., • Maintain records of workplace incidents, ensure that accidents are reported, and investigate any safety violations or risks. Performance Metrics & Indicators • Timeliness and accuracy of HR operations and payroll inputs., • Manager and employee satisfaction with HR support and advice., • Effective management of employee relations cases and compliance., • Successful implementation of people agenda initiatives., • Accuracy and completeness of HRIS data. What we’re looking for: Education & Experience: • 5+ years of relevant experience in a similar HR role., • Experience working in a fast-paced environment, managing multiple tasks., • Up-to-date and comprehensive knowledge of HR practice, concepts, and themes, including employment law and employee relations issues. Technical Skills: • Experience with people systems (HRIS, e-learning platforms)., • Proficiency in Microsoft Office Suite., • Understands HR ethics, professionalism, data integrity.
