Job DescriptionDescription: Job Title: Director of Strategic Operations | West Coast Events Entity & Department: ZT Corporate Reports To: Chief People Officer Summary The Director of Strategic Operations, West Coast Events for ZT Corporate is responsible for leading the planning, coordination, and execution of high-impact strategic events across the West Coast, while serving as a key operational, anchoring the Newport Beach office based in California, under the Badar Family Office structure. This role bridges project execution, and operational development and strategic event planning, ensuring consistency, structure, and scalability across processes and protocols within the Badar Family Office ecosystem. A core responsibility of this position is to partner closely with the Office of the CEO to strengthen organizational effectiveness by developing, refining, and institutionalizing standardized processes, operating procedures, and execution frameworks. In addition, the Director will serve as a key liaison between event strategy and investor relationship management, leading West Coast event initiatives that enhance investor engagement, strengthen strategic relationships, support public relations efforts, and elevate the overall investor experience in alignment with the firm’s brand and business objectives. Overall, this position is designed to integrate operational support, process improvement, and strategic event leadership within a Family Office structure, while actively contributing to the development of high-performing organizational capabilities across the enterprise. Essential Duties and Responsibilities Family Office Operations Support • Serve as an operational anchor within the Office of the CEO in strengthening execution discipline, organizational structure, and operational consistency., • Partner with leadership to develop, refine, and institutionalize standardized processes, operating procedures, and scalable execution frameworks across the Family Office ecosystem., • Support initiatives that improve cross-functional coordination, operational efficiency, and alignment across teams and portfolios. Investor Relations & Alignment • Act as a key coordination point between event strategy and Investor relationship management functions to ensure investor-facing experiences are seamless, consistent, and strategically aligned., • Support engagement strategies with investors, banking partners, and key stakeholders to enhance relationship depth, trust, and long-term partnership value., • Ensure all investor and stakeholder experiences reinforce brand reputation, professionalism, and long-term relationship objectives. Operational Excellence & Process Development • Drive improvements in operational structure by identifying gaps, refining workflows, and implementing standardized processes across event planning and project execution functions., • Develop and maintain documentation, protocols, and execution frameworks to ensure scalability, consistency, and efficiency across teams., • Support leadership in building a disciplined operating environment focused on accountability, clarity, and execution excellence. Cross-Functional Leadership & Coordination • Partner closely with the Office of the CEO and cross-functional teams to ensure alignment across strategy, execution, and operational priorities., • Facilitate communication and coordination between stakeholders to ensure seamless execution of initiatives and events., • Support executive leadership with special projects, strategic initiatives, and high-priority operational needs as assigned. West Coast Event Strategy & Execution • Lead the development and execution of the West Coast strategic event roadmap, ensuring alignment with ZT Corporate’s enterprise objectives, Badar Family Office standards., • Plan, coordinate, and execute high-impact investor-facing and leadership events designed to strengthen relationships, enhance brand presence, and elevate the overall investor experience., • Oversee end-to-end event execution including concept development, logistics, scheduling, budgeting, vendor coordination, and on-site management., • Ensure all events reflect a high standard of professionalism, consistency, and brand alignment across all touchpoints and stakeholder experiences. KPIs Executive and Cross-Functional Coordination Maintain proactive communication and alignment with the Office of the CEO, internal teams, external partners, and operational stakeholders. Operational Process Development Develop, refine, and maintain standardized processes, operating procedures, and execution frameworks that improve consistency, efficiency, and scalability across initiatives. Investment and Relationship Alignment Support effective coordination between event strategy and investor relationship management to ensure investor-facing experiences are properly tracked, aligned, and followed through. West Coast Event Execution & Delivery Successfully plan and execute high-impact West Coast events, investor engagements, and strategic initiatives on time and within approved budget parameters. Brand Standards and Reputation Management Ensure all West Coast events, investor-facing engagements, and public-facing experiences reflect the firm’s brand standards, reputation, professionalism, and relationship-focused approach. Project Management and Follow-Through Maintain detailed project plans, timelines, meeting notes, action items, and operational checklists to support disciplined execution and accountability. Risk Management and Problem Solving Reduce operational risk and event-related disruptions through proactive planning, contingency development, real-time troubleshooting, and sound decision-making. Relationship Development Impact Contribute to stronger investor, banking partner, and stakeholder relationships through thoughtfully designed engagements that support trust, communication, and long-term partnership value. Strategic Operations Support Support the professionalization and scaling of operational infrastructure by improving coordination, documentation, execution standards, and cross-functional workflows. Marginal Duties • Support preparation of executive briefing materials, event agendas, and stakeholder presentations as needed., • Assist with administrative coordination including scheduling, meeting logistics, and calendar management for leadership and event-related activities., • Conduct light research on venues, vendors, markets, and investor engagement opportunities to support strategic planning., • Provide support for travel coordination, itineraries, and on-site logistics for leadership and investor-facing events., • Assist in maintaining documentation, reporting materials, and operational records related to events, Investor activities, and process improvements., • Participate in select evening, weekend, or travel-based events in support of investor relations, leadership engagements, and enterprise initiatives., • Support special projects and ad hoc assignments as directed by the Office of the CEO. Requirements: Qualifications - To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Education & Experience: • Bachelor’s degree in business administration, Communications, Marketing, Hospitality Management, Public Relations, or a related field preferred; master’s degree preferred., • 10+ years of progressive experience in strategic event planning, executive-level event management, investor relations, marketing, public relations, or organizational operations within a multi-site or enterprise setting., • Demonstrated experience leading large-scale, high-impact events and initiatives involving multiple stakeholders, including executives, investors, banking partners, and cross-functional teams across multiple regions., • Proven experience operating in or supporting family office, or similarly complex organizational structures, with exposure to executive leadership, investor alignment, and brand/communications strategy. Skills: • Strong ability to plan, organize, and execute complex, multi-layered events across multiple portfolios and geographic regions, ensuring alignment with organizational priorities and brand standards., • Exceptional project management skills with the ability to manage multiple priorities, deadlines, and stakeholders simultaneously in a fast-paced, high-pressure environment., • Strong executive presence and communication skills, with the ability to effectively engage senior leadership, external partners, and community stakeholders., • High proficiency in operational planning, budgeting, logistics coordination, vendor management, and the development of structured event calendars and workflows., • Excellent problem-solving, organizational, and execution skills with a high level of attention to detail, discretion, follow-through, and willingness to travel as required to support enterprise events and initiatives.
