Our client, a successful, high-net-worth individual in Houston TX, has engaged us to place a Personal Assistant (PA) to support the needs of his busy family (2 Principals & 3 children ages 6, 4 & 2). The PA will report to the 2 Principals, providing additional support to the Estate Manager as needed. This role requires the ability to travel roughly 10-20%/year, up to 7-10 days at a time, and a passport is required. We’re seeking someone with a servant’s heart, and a “no task is too small” mentality. This is a great, long-term opportunity for the right fit. The ideal candidate is personable, friendly, professional, resourceful, proactive, extremely detail oriented, confident, tech-savvy, caring and discreet. Additionally, they bring with them a positive attitude, dedicated work ethic, high personal standards of integrity, and the ability to anticipate needs before they arise! Hours: 8/9am-5/6pm with flexibility needed to arrive earlier or stay later depending on the needs of the family (as well as work on-site for events as needed). Additional flexibility/availability is needed to remain responsive to time-sensitive phone and email requests, including evenings and weekends. Location: Family residence in Houston, TX (West Houston, near the Galleria) About YOU: • You’re honest, display a high level of personal accountability and responsibility, utilizing tact, discretion and good judgment at all times, especially when exposed to confidential or sensitive matters, • You have a “figure it out” mentality, and the confidence to ask questions when needed, • You’re flexible/adaptable and have the ability to pivot with changing priorities, • You have strong time management skills & don’t need to be micromanaged in order to execute, • You’re driven, confident & diligent, have impeccable attention to detail and strong follow through, • You’re humble, and a great team-player willing to jump in where needed to get things done, • You have a professional demeanor, and a high level of emotional intelligence & professionalism, • You’re highly proactive with strong organizational & project management skills, reflecting the ability to perform & prioritize multiple concurrent tasks as the Principals’ priorities dictate, • You’re forward thinking & intuitive, with the ability to identify needs ahead of time and take full ownership of tasks, • You’re a smart self-starter, productive, highly organized, and work well independently, • You’re resourceful, show initiative, have strong decision-making capability & a proactive approach to problem solving, • You have strong interpersonal skills, the ability to communicate with a mix of different personalities, and an ability to “read the room”, • You have excellent written & verbal communication skills, • You provide a courteous & professional point of contact at all times, • You’re tech-savvy and familiar with both Macs and PCs, • You have a good history of job stability, strong references & are looking for a long-term career Key Responsibilities Include (but not limited to): • Manage family & household calendars and appointments, • Coordinate travel (domestic/international) & create itineraries for the family, • Prepare Principals & children for travel making sure all items are packed and they have necessary documents (tickets, photo ID, passport, itineraries etc.), • Travel with Principals & family as requested, • Online research, • Filing and organizing household documents, • Organize and oversee all social events, dinner parties, birthday parties and in the Principals’ home or local establishments; assist with invitations, manage RSVP tracking, and vendor management, • Purchase/wrap gifts for family and friends (holidays, birthdays, special occasions, etc.), • Order/Pick up meals as requested, • Develop lists and execute purchases of household groceries, toiletries & supplies, • Run personal errands (personal shopping/errands, school supplies, vet visits (2 dogs/2 cats), dry cleaning, etc.) - PA can use their own vehicle or one of the employer’s SUVs, • Assist in driving children to activities/appointments as needed (when Nanny/Principals need assistance), • Maintain personal/family fleet of vehicles (insurance, regular maintenance, registration, cleaning, fueling) - approx. 15 total vehicles with 4 in current rotation - all but two are automatic and are stored at the residence and other locations, • File/organize documents & come up with systems to streamline needs within the home office, • Update contacts, • Organize, package, ship and receive deliveries and packages for household and Principals, • Source, get bids, coordinate & supervise external contractors/vendors for any maintenance repairs or updates to the home - Be proactive in recognizing areas that need repairs & general upkeep etc. and knowing which tasks can be handled immediately & which require approval from the Principals prior, • Perform basic bookkeeping tasks (review/submit vendor invoices for processing, keep record of receipts, etc.), • Home organization projects (closets, pantry, bathrooms etc. & closet maintenance (seasonal wardrobe rotation, organization, donations, etc.), • Assist with holiday decor as needed, • Check in on the Principals’ home when they’re out of town, watering plants, verifying no maintenance issues and preparing home for their return (fridge is stocked, personal toiletries etc.), • Coordinate and oversee all vendors, service providers and housekeeping associated with the home as needed, • Conduct regular daily walk-throughs of the home (interior & exterior), handle any issues/needs that arise, alerting the Estate Manager and Principals as needed, • Handle any special requests, duties or errands, • Delegate errands/tasks to the family Nanny as needed (when they’re available to assist), • Provide backup support to the Estate Manager as needed Experience/Education: • Minimum 3+ years Personal Assistant experience, or similar role providing high-level personal support to busy HNW/UHNW individuals/private families, • Bachelor’s Degree (preferred), • Tech savvy; Proficiency in Google Workspace, Microsoft Office, travel and calendar platforms, • Valid Driver’s License, reliable vehicle & clean driving record Compensation/Benefits: • Annual Salary: $100k-$125k (DOE) + discretionary individual performance based bonus up to 10%, • M/D/V - employer covers 100% for the employee, • 401(k) w/ employer match on first 3% and 50% match up to 5%, • PTO (15) / Paid Holidays (9), • Life and AD&D Insurance, • Maternity/Paternity Leave, • Short/Long-term Disability, • & more… Note: We appreciate your interest in this opportunity and review all submissions.
