Job DescriptionPOSITION: Production Assistant DEPARTMENT: Music & Dance School REPORTS TO: Assistant Director, Productions SALARY: $25-$29/Hourly, Non-Exempt POSITION OVERVIEW Reporting to the Assistant Director of Production, this position will support the setup, execution, and logistics of performances and events at Third Street Music School. This includes recitals, student ensemble performances, masterclasses and performances on and off-site. This position will also be expected to support office and administrative tasks, such as drafting concert programs, event planning, and programmatic projects as needed. QUALIFICATIONS • Strong interest in performing arts and arts education., • Prior experience in concert or event production., • Adaptable, comfort in high-pressure situations, solution-oriented, eager to learn and develop skills., • Familiarity with the Adobe Creative Cloud Suite preferred., • Basic knowledge of audiovisual and recording equipment. Familiarity with ETC lighting consoles, live audio systems, and PTZ camera systems a plus. Hands-on training available., • Experience with traditional orchestra and backline equipment., • Physical ability and stamina to perform all functions of the job, including: the ability to lift, climb ladders, and to setup/breakdown objects required for each event. Professional cleaners handle routine and deep cleaning. · Coordinate with the Creator's personal chef on menu planning and with the Content and Production Manager to schedule meals around the Creator's calendar, travel, and production needs; provide light meal preparation, ordering, and pickup as needed. · Receive deliveries and coordinate household vendors, repairs, services, and appointments. · Complete personal, household, wardrobe, and business errands throughout New York City, including but not limited to groceries, supplies, pharmacy items, clothing, dry cleaning, pickups, deliveries, exchanges, and returns. Production support · Research and source props, clothing, costumes, and production materials and, after receiving advance approval, purchase, pick up, organize, and return them. · Research and check shoot locations and help coordinate background participants. · Pack production supplies and assist with setup, breakdown, load-in, load-out, props, urgent errands, and changing shoot-day needs, including carrying and moving production equipment before, during, and after filming. · Coordinate with photographers, crews, vendors, and production partners. Camera responsibilities may be added as the role grows. Social-media account access will be provided only when assigned and after training. Team coordination · Work with the Company's remote administrative, bookkeeping, and content-support team as needed. · Coordinate task handoffs and share approved files, receipts, schedules, travel confirmations, deadlines, and updates using approved systems. · Work with the COO on administrative collaboration, team coordination, financial procedures, expense documentation, and related questions. Reporting and Priorities The PA reports directly to the Content and Production Manager, who coordinates the PA's schedule, daily workload, priorities, timekeeping, and advance approval of overtime. The PA's work primarily supports the Creator. What We Are Looking For · At least one to two years of personal-assistant or executive-assistant experience. · Based in or near New York City and able to work primarily in person in Manhattan. · Available for a full-time, variable schedule that frequently includes evenings and weekends, scheduled on-call coverage, and occasional remote administrative work. · Highly organized, dependable, responsive, discreet, and comfortable managing changing priorities. · Valid driver's license, comfort driving in New York City, and a valid passport, with the ability to travel domestically and internationally on short notice. A personal vehicle is not required. · Able to perform the essential physical responsibilities of the position, with or without reasonable accommodation, including lifting and carrying up to 60 pounds, standing and walking for extended periods, navigating airports and public transportation, and carrying production equipment. · Comfortable using a secure personal laptop for occasional administrative work and legally authorized to work in the United States. · Comfortable using common workplace technology, including email, calendars, shared documents, messaging platforms, and task-management systems. Experience with Asana and Google Workspace is preferred, but training will be provided. · Creator-industry, social-media, travel-coordination, household, hospitality, or production experience is preferred. Employment Details · Full-time, nonexempt W-2 employment, generally approximately 40 hours per week. · $25 per hour, paid through payroll in accordance with applicable law. · Variable schedule with frequent evening and weekend availability, scheduled on-call periods, and occasional domestic and international travel. · Overtime requires advance approval from the Content and Production Manager or COO and will be paid in accordance with applicable law. All working time must be recorded accurately. · Approved business expenses are reimbursed; a $50 monthly phone allowance is paid through payroll. · No company-sponsored benefits or discretionary paid time off are offered at this time.
