NYSCI has approximately 87 full-time and over 103 part-time and casual staff members. POSITION OVERVIEW New York Hall of Science (NYSCI) seeks an experienced Director of Facilities to ensure smooth day to day building operations and service excellence. Reporting to the SVP of Operations, and working dynamically across departments and organizational units, the Director will oversee all aspects of Facilities, Maintenance and Security, providing supervision and mentorship to a team of Building Maintenance, Custodial and Security professionals, create and implement best in class standard operating procedures, and emergency/safety plans, and help to ensure the overall vitality and safety of NYSCI campus and grounds. The Director will be an experienced building operator with a track record in cultural and/or educational institutions, with expertise in management systems, building trades, construction project management, maintenance standards, and security and safety protocols, including Fire Life Safety. The Director also manages a portfolio of vendor relationships and serves as the main point of contact with external contractors and service providers (e.g. HVAC, Electrical, Plumbing, Elevator, Grounds, etc.). Successful candidates will also demonstrate exceptional team leadership abilities, project management and relationship building skills, with an emphasis on collaboration and working across departments. PRINCIPAL RESPONSIBILITIES Building Operations • Ensure operational excellence as related to the best-in-class of Museum facility and security services, • Assure departmental organization and systems reliably sustain facility operations, in full compliance with all regulatory and safety standards, • Ensure the Facilities department is effectively structured to serve the Museum's needs best, ensure safety and security, and meet operational financial objectives, • Ensure all HVAC, MEP, fire/life-safety, and building control systems are fully functioning, compliant, and properly maintained, • Oversee all routine maintenance and repair work throughout Museum facilities, including regularly evaluating systems, identifying needs, and scheduling and supervising work, • Manage and troubleshoot issues related to the building, including preparing preventative maintenance contracts, supervising vendors and contractors across multiple trades, and communicating necessary maintenance to relevant Museum staff, • Create, monitor, and adhere to budgets and schedules for all facility services and capital projects, • Review and submit invoicing for Facilities and Security Departments, • Provide oversight on all building facilities operations and security projects, including leading project meetings., • Determine and assess the scope of the project and function as the primary communication point between all parties internally and externally, • Develop and implement policies and standardized operating procedures, including Emergency Preparedness and Disaster Management Procedures, • Personally oversee the Facilities and Security response to any potential disasters and/or emergencies, • Direct and control construction projects to ensure completion according to plans, specifications, schedules, budgets, and contractual commitments., • Ensure compliance with all requisite regulations concerning employee and public health and safety and building codes., • Keep current with security protocols, manage relationships and training with security vendors, and ensure good customer service from security and facilities staff., • Coordinate with federal, state, and local agencies governing the facilities' operation., • Ensure compliance with all human resource and workplace standards for department employees., • Coordinate building activities with the on-site Cafe and ensure compliance with the operating agreement, • Support programming by providing adequate facility staffing and ensuring facility condition requirements are met, • Assist with event planning and logistics by participating in regular events and production meetings, • Coordinate with multiple departments to plan and organize operational event needs, ensuring setup is complete by the predetermined time, • Schedule and assist with event vendor needs , including loading dock, electrical, potable water, etc., • Work with program areas during events regarding ingress/egress and ADA compliance, and related security, back-of-house activities, and preparing, filing, and maintaining temporary security and custodial needs, • Collaborate and take the lead with Visitor Experience and Exhibit Experience to ensure that all emergency preparedness roles, manuals, and training are up to date, • Manage the Facilities, Maintenance, and Security staff, including daily, weekly/bi-weekly check-ins with direct reports and the entire team, performance management, and development, • Create schedules for the Security, Facilities, and Maintenance staff, to facilitate programming and special events needs, • Implement and steward an ongoing training and credentialing program for Facilities, Custodial, and Security Staff, • Serve as a knowledge holder for time and attendance policies under the Collective Bargaining Agreement, • Other related duties and responsibilities, as assignedQUALIFICATIONS, • Bachelor’s Degree in Business Administration, Operations Management, Information Management, Engineering, a related field, and/or its work experience equivalent, • 7+ years of senior management experience in facilities management, building operations, preferably in a cultural institution, university, or public-facing organization with high visitation, • Demonstrated ability to effectively project manage multiple streams of work (construction, renovation, maintenance), • Knowledge of Federal, State, and Local compliance and safety standards, and industry best practices, • Proven track record of excellence in leadership with the ability to build motivation and teamwork in direct reports, • Experience with building management systems, • Prior experience managing a unionized workforce, • Experience developing specifications for contracted facilities projects, preventative maintenance, and vendor management, • Expertise and training in security management and equipmentREQUIREMENTS, • Exceptional project management, organization, and prioritization skills, • Excellent written and interpersonal communication skills, • Ability to effectively delegate tasks and responsibilities across multiple work units, • Ability to develop and perform a scheduled preventive maintenance schedule, • Proficiency with repair tools and techniques, hands-on skills with installation, repair, and maintenance, • Advanced understanding of building trades and mechanics, including HVAC and other building systems (plumbing is a plus), • Keen attention to detail and efficient problem-solving skillsPHYSICAL REQUIREMENTS, • Must be able to perform tasks that involve repetitive motions, such as typing, reaching, and handling various materials, • Requires the ability to stand, walk, and move throughout the facility for extended periods, • Must be capable of lifting and carrying objects weighing up to 25 pounds regularly, and occasionally up to 50 pounds with assistance, • Ability to work in various environments, including areas with temperature fluctuations, confined spaces, and heights, • Certified Facilities Manager (CFM), • F89/T89 Fire and Life Safety Director (preferred), • S-95 Supervision of Fire Alarm Systems Job Description Compensation: Starting hourly rate: $20/hr. Benefits Offered: Medical, Dental, Vision, 403B with Employer Match, Generous Paid Time-Off and other voluntary benefits. Summary: The Porter will make sure that a mixed-use residential and commercial building in Flushing, Queens is maintained daily in clean and functioning order for its occupants. Overall duties will include removing debris, maintaining common areas, restocking bathrooms, and responding to all cleaning emergencies. This position will also include painting jobs within the building. Responsibilities: • Regular working hours will be full-time 40 hours weekly. Porter will be expected to be on call during off hours to perform emergency tasks requested and not to accept other employment that would conflict with job obligations., • Responsible for painting apartments and areas of the building that require painting, as assigned. Ensure that painting jobs are done neatly, respectfully and with attention to detail., • Maintain a weekly time log indicating completion of chores and duties, including day and time the activity took place, and submit log to building manager with time sheet every other Friday., • Sweep floor daily, mop public areas of building at least twice per week, including but not limited to staircases and hallways, and as otherwise needed., • Prepare, sort and remove garbage and trash in building for pick up by garbage trucks., • Keep basement clean and free of all clutter and debris at all times. Do not permit storage of any miscellaneous or personal items (furniture, etc.) by any tenants or occupants in the building therein. If such a situation arises, the porter must advise management so that appropriate actions can be taken to remove the items. Also, porter will remove and dispose of any dead vermin., • Keep receptacles covered at all times. Make sure all garbage is bagged and the building is free of violations for garbage and debris at or around the building. Follow recycling rules: all recyclable and garbage is to be placed in front of the building according to New York City Department of Sanitation schedule., • Clean rear yard, airshaft, sewer trap and roof at least once a week or more if needed., • Promptly replace any missing or burned out bulbs in public area and basement., • Report all tenants moving in or out of building to management office., • Ensure that vacant apartments are kept clean and securely locked at all times and not rented or used by porter or others for any reason., • Report any defect, suspected or otherwise, in the roof, plumbing, electrical and etc. to management., • During snow periods, clear snow from all sidewalks adjacent to and in front of the building. During light snow or ice, apply granulated salt compound or alternative immediately to avoid slippage., • Report any illegal activities or conduct, suspected and / or witnessed, on the part of any tenants or visitors at or around the building. If there is any evidence of drug activity (addicts, vials, needles, envelopes), or other undesirable behavior, notify management office staff person immediately., • Report and file report on all accidents without delay to the management office., • Maintain a neat appearance and a polite, courteous demeanor at all times., • Advise of need for cleaning tools, supplies and equipment. When materials are ordered / requested / acquired, porter is responsible for storing them in proper place for future use., • Keep handrails clean and free of the dust that accumulates on them., • Wash down sidewalks and garbage beam., • Supervise any outside contractors and utility companies.
