Job Description Overview: The Pak Mail store manager is responsible for overseeing the entire operation for Pak Mail including managing staff, maintaining excellent customer service, increasing revenue, and ensuring items received for packing are treated with the upmost care and packed according to AnnexBrands standards. In addition, Pak Mail is used as a worksite training opportunity for clients of DKA. The Pak Mail manager is responsible for creating a supportive learning environment for the client trainees and providing direct supervision for all Pak Mail staff as well as DKA staff stationed at Pak Mail. The Pak Mail Manager is also responsible for all assigned program deliverables and performing quality checks. The Pak Mail Manager is a leadership position and requires appropriate leadership decision-making and comportment as a member of the DKA manager team. This job is not eligible for work from home status, and is an onsite and staff-facing role. Work from home may only occur after direct approval from the CEO, and only for a specific and limited time with full expectation of return to work at the end of the approved period. Responsibilities Common to all Agency Employees: • Maintains confidentiality and trust with all employees, customers, participants, and trainees in compliance with HIPAA and organizational policies., • Maintains culturally sensitive and trauma-informed interactions with employees, participants, and visitors, and pursues ongoing learning to strengthen cultural competence., • Strives for mutually beneficial solutions, values interdependence, and upholds a shared responsibility for the success of the organization as a whole., • Represents the agency in a positive and professional manner, demonstrating respect and professionalism in personal appearance and contributing to a clean, orderly, and welcoming facility environment., • Demonstrates respect, courtesy and dignity for all., • Demonstrates ethical conduct consistent with the National Association of Social Workers (NASW) Code of Ethics., • Responds in a timely manner in all aspects of communication., • Maintains a safe and clean working environment for self, employees, and visitors in compliance with OSHA regulations and other applicable safety standards relevant to the position's duties., • Advocates for client needs and demonstrates adaptability and flexibility to support the health and success of the team, participants, and the agency by initiating improvements, solving problems creatively, and showing motivation for positive change and organizational growth., • Completes all required agency training to maintain credentials and continuously enhance professional skills and knowledge., • Ensures consistent compliance with all DKA policies and procedures, seeking guidance from the appropriate supervisor when questions or concerns arise., • Adheres to assigned schedules and demonstrates punctuality, promptly communicating any scheduling conflicts, changes, or unforeseen absences to the appropriate supervisor., • Participates in recruitment, interviewing, hiring, and training of assigned staff in their respective programs and roles., • Oversees daily workflow and ensures staff adhere to job duties and responsibilities., • Provides constructive, timely performance feedback, including coaching, performance evaluations, and preparation for discipline or termination in accordance with company policy., • Coordinates with clients' support teams and other managers to implement comprehensive and appropriate training programs., • Ensures completion of required training, including Relias, Behavioral Health Technician (BHT) training, and make-up BHT training for direct reports., • Maintains accurate and timely staff timekeeping using DKA's designated software (ISolved), managing time-off requests, coverage for absences, and rescheduling client appointments when necessary., • Collaborates with other managers to resolve staffing and coverage issues., • Reviews staff work for accuracy and completeness in documentation, notes, and deliverables., • Conducts regular performance reviews and provides ongoing guidance to manage and enhance staff performance., • Ensures compliance with company policies, program requirements, grants, contracts, and all applicable state, local, and agency regulations under RBHA oversight., • Oversees completion of all departmental deliverables in a timely, accurate, and thorough manner., • Supports company initiatives in marketing and community engagement, as assigned., • Holds regular meetings with direct reports to promote team engagement, clarify roles, and strengthen understanding of their contributions to organizational goals., • Oversee store operations to ensure compliance with Pak Mail and AnnexBrands franchise requirements, as well as postal and shipping regulations., • Hire, train, and mentor employees on store policies, procedures, and job duties, and assign work schedules, breaks, and vacations to maintain adequate staffing for optimal customer service., • Order and maintain merchandise, supplies, and equipment to ensure the store meets customer needs and operational requirements., • Promote excellent customer relations by responding professionally to concerns, complaints, and complex transactions, maintaining a positive demeanor regardless of customer behavior., • Build, pack, weigh, and measure items for shipping, following Pak Mail guidelines to ensure items are secure, and create invoices, bills of lading, and process payments through the Point of Sale (POS) system., • Assist staff with questions and difficult sales, identify operational gaps, and implement practical solutions to improve store performance., • Maintain store machines and equipment, or assign maintenance tasks to staff, and document all shipments through communications, photos, and expense tracking; manage claims with carriers, insurance companies, and the corporate office., • Support store growth through participation in marketing campaigns, networking groups, and promotion of high-quality products and services., • Demonstrate understanding of retail operations, including profit, loss, pricing, and maintaining profitability, and accurately reconcile store expenses using POS and other systems., • Problem-solve effectively by gathering information, evaluating options, and implementing solutions; respond professionally and tactfully to customer and employee needs., • Complete tasks accurately and within acceptable timeframes, make sound and timely decisions, and adapt to changes in work pace, environment, or unexpected events., • Follow all safety rules, regulations, and guidelines to ensure compliance with OSHA and other workplace safety requirements., • Identify strengths and weaknesses in the business, develop improvement plans, and monitor progress toward goals while providing regular updates to the store owner., • Calculate figures such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume; compute and file sales taxes monthly; apply basic algebra and geometry concepts as needed., • Excellent verbal and written communication skills., • Strong supervisory and leadership skills, with a focus on team development and morale., • Demonstrated analytical and problem-solving skills, including solution-oriented approaches to addressing client and operational challenges., • Excellent organizational, time-management, and attention-to-detail skills., • Ability to work independently and collaboratively as part of a team., • Adaptability and flexibility in responding to evolving client and organizational needs., • Proficient with Microsoft Office Suite and related software., • High School Diploma or GED required, • Associate's degree or higher in business, behavioral health, or a related field, • Certification as a Behavioral Health Technician (BHT) or equivalent., • Must be able to obtain fingerprint clearance within 90 days of hire., • Must be able to pass a background check and pre-employment drug screening., • Current CPR and First Aid certification required or must obtain upon hire., • Prolonged periods of sitting at a desk and working on a computer. This job is deemed MEDIUM duty work, as defined by the Social Security Administration, Code of Federal Regulations, § 404.1567, Physical exertion requirements: (c) Medium work. Medium work involves lifting no more than 50 pounds at a time with frequent lifting or carrying of objects weighing up to 25 pounds.
