Job DescriptionDescriptionOverview The Manager, Development Service Bureau plays a critical leadership role in ensuring the integrity, efficiency, and accuracy of all private contribution processing within the Development Department. This position is responsible for overseeing daily gift processing operations, managing a dedicated team, and serving as the primary liaison with Accounting to ensure seamless financial reconciliation and reporting. This individual will own the end-to-end process of gift entry and reconciliation, uphold the highest standards of data integrity in our donor database, and deliver exceptional customer service to both internal and external stakeholders. They will actively learn new technologies and compliance standards to stay ahead of evolving revenue streams and security protocols. And they will continuously improve systems and documentation to support scalability and operational excellence. This is a hands-on leadership role for someone who thrives in a fast-paced, mission-driven environment and is passionate about building strong systems and teams that support philanthropic success. We are looking for someone we can count on to: Own: • Accurate and timely processing of all private contributions received by NYPL, • Managing and supporting the Service Bureau staff, • Daily production responsibility of timely and accurate deliverables, • Weekly reconciliation and reporting of all gift processing, • Support for Development’s monthly reconciliation, • Integrity of the financial and biographical information recorded in our database of record, • Primary liaison with Accounting, • Great customer service to our internal and external stakeholdersTeach:, • And develop Service Bureau staff on all gift processing procedures and tools, • And support Development colleagues regarding gift processing and their role in accurate, timely gift processingLearn:, • Existing and emerging technologies required to process all NYPL revenue streams, • Best practices of secure gift processing, • Best practices of PCI complianceImprove:, • Efficiency and accuracy of gift processing procedures, • And be prepared for growth in workload and complexity, • Be facile with day to day elements of gift processing, • Work with Assistant Manager on assigning staff priorities, • Learn NYPL gift coding, • Learn NYPL membership gift processing, • Learn and assist with daily Accounting paperwork3 months, this person will:, • Learn niche gift processing (Stocks; DAFs; Pledges; 3 party online vendors, etc.), • Be versed in all day to day elements of gift processing and able to make recommendations and work assignments, • Also be comfortable working with fundraising colleagues on gift write ups, requests, etc., • Be resourceful at finding answers to questions regarding NYPL gift and accounting procedure and process, • Manage the daily Accounting deliverables6 months and beyond, this person will:, • Be fluent with RE NXT, BBPS, IOM, and Luminate Online, • Be fluent with gift processing NYPL various revenue streams, • Be able to answer staff questions regarding reply devices and membership gifts, • Manage the processing of all private contributions from all various revenue streams in an accurate and timely manner, • Supervise and manage daily gift processing production, • Be responsible for weekly reconciliation and reporting on gifts, • Ensure accuracy of the biographical and financial information collected and entered into the Dev database of record, • Evaluate and prioritize the work of the Service Bureau staff, including but not limited to preparation, deposit, processing, recording and reconciliation of all private revenue contributed to NYPL, • Train and develop Service Bureau staff while developing long range plans for growth and success, • Be the primary liaison with Accounting, • 5+ years of work experience, • 3+ years managing a data related production environment, • 1-3 years of experience managing a teamRequired Skills, • The ability to work with sizable, complex databases, • The ability to handle complex financial transactions, • The ability to multitask, • Detail oriented, • Ability to meet deadlines, • Effective communication with a variety of staff levelsManagerial/Supervisory Responsibilities, • Daily support, training, and coaching for 4 full-time staff, • Be Helpful to patrons and colleagues, • Be Resourceful in solving problems, • Be Curious in all aspects of your work, • Be Welcoming and InclusiveWork Environment, • Office setting, • Requires 5 days in the officePhysical Duties Union/Non Union Non-Union FLSA Status Exempt Schedule • Monday - Friday, 9-5, onsiteThis job description represents the types and levels of responsibilities that will be required of the position and shall not be construed as a declaration of all of the specific duties and responsibilities for the role.
