ENT and Allergy Associates is seeking a self-motivated, people-friendly full time Allergy Administrative Assistant/Authorization Specialist for our Cherry Hill NJ corporate office. This position is hybrid, requiring three days in the office and two days remote. Please note that the role may transition to full-time in-office in the future. The Allergy Administrative Assistant is a key member of the Biologics Team, serving as a patient advocate, insurance specialist, and operational partner to clinical staff. This role ensures that patients receive timely access to life?changing biologic therapies by coordinating benefits investigations, prior authorizations, financial support programs, and specialty pharmacy workflows. The ideal candidate is compassionate, detail?oriented, and committed to breaking down barriers to care. Hourly: $21/hr • Conduct full benefit investigations for all biologic prescriptions, including verification of coverage, step edits, prior authorization requirements, and payer restrictions., • Prepare, submit, and track prior authorizations and referrals for biologic and specialty medications., • Monitor, track, and document authorization status, expiration dates, and re?verification needs., • Address insurance denials by initiating appeals, gathering clinical documentation, and coordinating with providers and manufacturer field reimbursement teams., • Manage annual reverifications and coverage checks related to open enrollment to prevent therapy interruptions., • Maintain precise documentation for all prior authorization submissions, appeals, outcomes, and patient communication., • Explain insurance benefits, cost?share responsibilities, and coverage determinations to patients in clear, empathetic language., • Help patients understand deductibles, co?insurance, copays, and reasons why certain services or medications may not be covered., • Reinforce adherence through follow?up touch points to identify access barriers, side effects (to inform care teams), or refill issues., • Serve as a compassionate and consistent point of contact for patients navigating complex biologic therapy processes., • Act as a liaison between patients, providers, clinical staff, insurance companies, manufacturer hubs, and specialty pharmacies., • Gather medical records, clinical notes, laboratory results, and other required documentation for prior authorizations, appeals, and hub enrollments., • Stay updated on payer policies, formulary updates, REMS requirements, and biologic treatment pathways., • Communicate authorization updates, payer trends, and access challenges to providers and leadership., • Partner with leadership to develop and refine workflows that reduce delays and improve patient access to therapy., • Collaborate with specialty pharmacies to monitor prescription processing, onboarding steps, shipping timelines, and refill schedules., • Complete and manage manufacturer hub enrollment forms, patient assistance program applications, copay savings documentation, and bridge program requests., • Track and troubleshoot workflows related to hub support programs, financial assistance documentation, patient onboarding, and access barriers., • Enter data accurately into the Electronic Health Record (EHR) and maintain documentation required for compliance and audit standards., • Ensure complete, timely, and organized records of all insurance interactions, patient communications, and coordination activities., • High school diploma or GED., • Experience working with insurance companies, benefit verification, or prior authorization processes., • Strong data entry skills and comfort with Electronic Health Records., • Excellent customer service skills and professional telephone etiquette., • Exceptional attention to detail, organization, and problem?solving ability., • Empathy, compassion, and the ability to support patients through complex treatment journeys., • Professional demeanor and strong communication skills., • Experience in healthcare, specialty pharmacy, biologics, infusion, reimbursement, dermatology, rheumatology, or gastroenterology settings., • Prior experience working with biologic therapies, specialty medications, or complex insurance workflows., • Knowledge of payer requirements for specialty drugs, including prior authorizations, step edits, medical vs. pharmacy benefit distinctions., • Familiarity with EMRs, manufacturer hub portals, and specialty pharmacy platforms.
