Duties & Responsibilities: • Possess the capacity to support several attorneys within a diverse and supportive team., • Provide support to attorneys by reviewing and finalizing corporate, estate planning, real estate, trust, tax forms, and documents, and be able to perform efficiently under pressure., • Communicate effectively and professionally with clients, courts, and government agencies, and ensure confidentiality at all times., • Finalize, record, and file documents with the Department of Commerce and Consumer Affairs (DCCA), Bureau of Conveyance (BOC), Real Property and Tax offices, and electronically file with the Land Court, Probate, and Small Estates courts., • Successfully navigate Hawaii Information Service (HIS), CSC e-recording, and e-filing with the BOC preferred., • Manage attorney calendars in an expedited and precise manner, including scheduling and monitoring of appointments, meetings, hearings, and all pertinent deadlines ensuring compliance with court rules and procedures, as well as organize and maintain case files., • Prepare and coordinate legal documents and correspondence through processes including drafting, proofreading, assembling,finalizing, mailing, docketing, and filing in digital and/or hard copy formats according to the firm policies and legal requirements., • Provide clear and professional communication with clients, partners, and fellow team members in person, via phone, email, and/or written methods., • Maintain meticulous data entry and record keeping across multiple systems., • Conduct basic research and fact checking as required with the tools and access provided., • Assist in managing attorney timesheets, billings, and expenses, to ensure timely and accurate completion while supporting the final reviewprocess., • General administrative responsibilities including, but not limited to, scanning, copying, sorting, and shredding., • Additional duties as assigned. Qualifications: Minimum qualifications required include: • Minimum 2 years of experience in the legal field with advanced knowledge of transactional, business, corporate, real estate, tax, estate planning and/or probate law., • Thorough knowledge of and familiarity with transactional and estate planning processes and procedures., • Proficient in Windows 11 and Microsoft Office 365 applications, including Outlook Word, Excel, PowerPoint, and Access., • Capability of working collaboratively within a team and independently when necessary., • Experience with Bureau of Conveyance, DCCA, Real Property and tax offices, Land Court and Small Estates., • Exceptional documentation, data entry, and proofreading skills with strength in accuracy, attention to detail, and thoroughness., • Ability to maintain strict confidentiality., • Proven proficiency in multi-tasking, prioritizing, and organizational skills in both independent and collaborative environments., • Ability to adhere to established protocols and procedures, receive constructive feedback and direction, and comply with established directives., • Excellent verbal communication skills, including professional and polite phone etiquette., • Punctuality with a strong attendance record., • Hold a Notary Public commission or willing to become a Notary Public. Preferred qualifications: • Experience with JEFS and PACER., • Working knowledge of Prolaw., • Working knowledge of Kofax Power PDF Advanced., • Notary credentials., • Ability to type a minimum of 60 words per minute (wpm)., • Additional legal experience and/or knowledge in applicable practice areas of our firm. Education: • High School Diploma or equivalent required. Work Schedule: This is a full-time, non-exempt position adhering to a Monday through Friday work schedule. All work will be performed in a secure, climate-controlled office setting. Additional hours may be requested depending on attorney and/or firm needs. What do we offer?
