Job Type: Full-time Work Type: Hybrid (remote + in-studio) with occasional travel Location: Honolulu, Hawai‘i Compensation: $65k - $75k DOE About the Role We are a fast-growing Hawai‘i art, lifestyle, and printing business seeking an experienced Operations Manager to oversee the day-to-day systems that keep our business running smoothly. As the brand grows and transitions into a larger space, this role supports both Aloha de Mele and Studio Hale (our in-house fine art printing business), ensuring deadlines are met, inventory is accurate, team members are supported, and wholesale + event logistics are executed at a high level. This position is ideal for someone who is highly organized, proactive, calm under pressure, has great customer service skills, and thrives in a fast-paced environment where priorities shift quickly. You’ll work closely with the artist/founder and play a key role in building efficient systems as the company continues to scale. Key Responsibilities Sales Forecasting, Budgeting & Business Reporting • Support sales forecasting across retail, wholesale, markets, and printing services to ensure proper planning, • Build and maintain budgets for events, travel, staffing, and operational needs, • Track spending and ensure the business stays aligned with monthly/quarterly targets, • Provide sales analysis and reporting (event performance, best-sellers, slow movers, seasonal trends, and service demand), • Recommend improvements based on data to increase efficiency and profitability Operations Support for Studio Hale (Printing Business) • Support production workflow planning and scheduling for Studio Hale print jobs, • Help coordinate job timelines, deliverables, and client communication as needed, • Assist with organization of printing supplies, packaging materials, and production inventory, • Maintain systems that ensure high quality control, consistent turnaround times, and smooth internal operations, • Support development and implementation of SOPs across print production and fulfillment Wholesale Account Management • Manage wholesale accounts from onboarding to fulfillment and follow-up, • Maintain account communication, order timelines, and delivery expectations, • Track wholesale sales, reorder cycles, and customer needs, • Support wholesale growth through organized outreach and relationship management Market Events Planning & Operations • Forecast event inventory needs and prepare product counts ahead of markets, • Manage event budgets, supplies, staffing, transportation, and setup logistics, • Coordinate booth operations, workflow, and breakdown plans, • Track event performance and recommend improvements for future events Team Management & Scheduling • Support employee scheduling, task delegation, and daily workflow planning, • Assist with onboarding, training, performance management, and accountability, • Help maintain clear communication and a professional, respectful work culture, • Coordinate internal team activities and ensure smooth day-to-day operations, • Assist with order fulfillment when needed HR + Admin Support • Assist with basic HR administration (time-off requests, documentation, policies), • Help maintain employee files, role expectations, and internal procedures, • Ensure team members are aligned with deadlines and responsibilities Travel Coordination • Coordinate business travel logistics including flights, lodging, itineraries, and shipping needs, • Support travel planning for events, collaborations, or brand opportunities Order Delivery & Fulfillment Support • Coordinate local deliveries and shipment timelines when needed SOPs, Efficiency & Systems • Create, improve, and enforce SOPs for key studio operations, • Identify bottlenecks and implement more efficient workflows, • Maintain organized tracking systems for tasks, inventory, schedules, and deadlines Inventory Checks & Studio Organization • Lead regular inventory checks for prints, merchandise, packaging, and supplies, • Track reorder points and ensure supplies are ordered on time, • Maintain clean, functional studio systems that support production and fulfillment Other Duties • Other duties as assigned Qualifications • Retail experience required (storefront, customer service operations, merchandising, or retail management), • Knowledge of Hawai‘i’s small business industry required (local vendor ecosystem, markets/pop-ups, wholesale relationships, and community expectations), • 3+ years experience in operations management, retail operations, or project management, • 3+ years of team senior management experience required, • Experience with sales forecasting, budgeting, and reporting strongly preferred, • Strong organizational skills and ability to manage multiple moving parts, • Comfortable managing employees, schedules, and time-sensitive deadlines, • Confident communicator (email, in-person, and team leadership), • Experience with inventory systems, wholesale operations, event planning, or print production environments is a plus, • Proficiency with tools like Google Workspace, spreadsheets, and task management systems, • Ability to lift and move up to 50 lbs (event + studio needs), • Must have reliable transportation and be able to work a flexible schedule during peak seasons and events, • Experience with Shopify or related POS software Traits we’re looking for • Proactive problem-solver who doesn’t need constant direction, • Detail-oriented and systems-driven, • Calm, professional, and solutions-focused, • Reliable, accountable, and able to lead a team confidently, • Understands the importance of protecting a brand’s quality and reputation, • Gets along with our friendly studio dog Benefits • PTO, • Health Insurance, • Commission Bonus Structure, • Employee Discounts, • Special Event Access
