Overview of the role: BGCH is looking for a motivated, highly organized, and self-directed person to manage and oversee the planning, development and implementation of BGCHs signature events, annual fundraising campaigns, and any other special events, projects, or activities related to BGCHs overall development and fundraising objectives. The Special Events manager position is the lead manager for BGCHs signature fundraising events and initiatives, and produces and manages a variety of fundraising, cultivation and stewardship events for individual clubhouses and the organization. This includes outside or sponsor driven community/individual projects that benefit the organization through increased awareness, donor support, and partnership opportunities. The Special Events Manager is a team player who can work independently within a fast-paced work environment. This position requires strong project management skills, a proven track-record of relationship building with event sponsors, committee members, and vendors, excellent written and verbal communication skills, attention to detail, high energy, and a passion for BGCH and its mission. What youll do • Successfully oversees planning, logistics, execution and tracking of all BGCH events, from inception to completion, including but not limited to Youth of the Year, Walk in the Country, Clubhouse fundraising events, donor cultivation, recognition and stewardship events, and in-store or third-party fundraising campaigns, • Assists the Development Team with organization wide campaigns, including but not limited to Great Futures Day, End of Year, Legacy and Major Gift Campaigns, with a focus on logistics and tracking to ensure adherence to timelines, communication and budget., • Works with Director(s) of Development and others within the Development Department to track event and special projects revenue goals, solicitation strategies, timelines, and post-event evaluation and analysis., • Oversee the collection, input, and organization of goods and services in preparation for online and in-person event live and silent auctions., • Review and process event vendor contracts to ensure accuracy and timely execution. Oversee all related logistics including, deliveries, set up, and payments, to ensure competition within event timeline., • Provides consistent and clear communication of events program to all stakeholders, including internal briefing documents for specific events and fundraisers., • Proactively helps to develop systems, protocols and best practices to ensure all BGCH events are consistently exceptional, high-caliber occasions that showcase our positive impact on Hawaiis young people., • Collaborates with Director(s) of Development, Senior Management and/or Club Leadership to ensure policies, procedures and multi-use forms and systems are comprehensive and inclusive, including training and execution., • Analyze, track, and report on event ROI including expenses, revenue, and key performance metrics utilizing CRM, email marketing, and project management systems. Assist in evaluating ROI for all events., • Work with Development Team and other leaders to identify, develop and implement new opportunities for BGCH's events portfolio., • a full suite of event sponsorship benefits designed to maximize revenue generation and align with the goals of the funding community., • Provides leadership, oversight, and follow up for all event committee activities Prepares, documents, and distributes meeting notes and action items in a timely manner to ensure committee members have the information and resources necessary to be successful BGCH solicitors., • Consistent focus on alignment of BGCH events and projects budgets, fundraising strategies, and goals., • Collaborates with the BGCH Database Coordinator to ensure timely data entry, financial transactions, gift acknowledgments and financial reporting of events and special projects., • Submits timely financial information to the Accounting Department and confirms event financials are processed accurately, and event vendor and partner invoices are processed correctly and paid by deadlines., • Oversees all aspects of event guest experience, event production, logistics, printed and digital materials and other event assets as needed., • In collaboration with DODs and Club Leadership, creates, tracks and manages all event financial budgets., • Club branch boards in planning fundraiser events for sites. Where applicable, provide Club management and Club branch boards tools, trackers and other systems to manage the event., • Travel between sites and activities locally and off-island as necessary., • Perform other related duties and responsibilities as required or as assigned. Job Description Who We Are Hawaii's largest event rental company servicing Oahu. We are a locally owned and operated business in Hawaii with over 20 years of event experience and history leading and hosting event celebrations on island. What we are looking for Motivated & energetic individuals who enjoy working outdoors, as part of a crew, in a fast-paced environment. Our crews work very closely so being a team player is a must. This is not a typical Monday thru Friday, 9-5 job. The days and shifts can vary widely, from very early in the morning to late at night, with split shifts. We need reliable people who are open to flexible schedules. Some weeks will be crazy busy, and others will give you enough free time to enjoy life outside of work. Our crews set up events at locations all over the island, so if you bore easily or just like to mix things up, this position may be a perfect fit. The hourly pay rates listed in this ad are starting rates, there are opportunities to move up in the pay scale. Position Summary / Primary Purpose Our Field Crews & Drivers are responsible for delivering and setting up events at venues all over the island. From assembling large structure tents, dance floors, bars, putting up lights, setting up tables, chairs, lounge furniture and everything in-between, our crews are responsible for building events from the ground up, often on tight timelines. Regularly assisting with loading and unloading of inventory at both the warehouse and customer sites. Ensure accuracy and timeliness of loads onto vehicles and at customer sites. Ensure customer sites and Accel inventory are maintained safely and with a high standard of cleanliness. Restock, clean, maintain and organize Accel’s inventory at the warehouse and other locations as directed. Essential Functions • Embody and lead teams in accordance with Accel’s Core Values, as described below., • Load and unload Accel inventory at customer sites and the warehouse, as directed for events and inventory management, as product comes in., • Ensure Accel inventory is treated with the highest degree of care, organization cleanliness and tidiness at customer sites and at the warehouse., • Ensure customer event loads on to vehicles are loaded in the directed manner, ahead of time, safely and accurately., • Assist in general warehouse cleanup, organization, and maintenance of inventory for various purposes (moves, auctions, etc.) and report issues as they arise., • Maintain proactive and effective communication with Drivers, other field staff and Onsite Production Manager, to ensure customer satisfaction for events and site management is met and always exceeded., • Problem solves issues with inventory and customer site issues with Drivers, as directed., • Ensure safety and maintenance of Accel inventory and repair/maintain inventory as directed. Driver’s license a plus. Able to demonstrate clear communication, multi-tasking, and execution of complex instructions under tight deadlines. Able to demonstrate diligence and proactive results driven work ethic. Demonstrated experience in inventory repair and maintenance, such as with tents, chairs, and other event products. Physical Requirements For onsite purposes, Field Techs must be able to lift/carry at least 50 lbs. Please let Accel know of any physical limitations. Work Environment This is an hourly position. This position regularly requires long hours, split shifts and frequent weekend duties. This position primarily operates in an outdoor environment and a warehouse. This position routinely operates in and around vehicles and warehouse equipment. While performing the duties of this job, the employee is occasionally exposed to fumes or airborne particles, moving mechanical parts and vibration. The noise level in the work environment and job sites can be loud.
