Job Description WATER PRODUCTION MAINTENANCE COORDINATOR Job Code 836A Range 105 Salary Range $52,769.6 - $82,534.40 Hourly Rate $25.37 - $39.68 NATURE OF WORK The employee supports the operations of the Water Production Department by providing administrative, organizational, and special project support using a broad spectrum of computer applications. Superior human relations and communication skills - both oral and written - are employed daily through interaction with the public and with Montgomery Water Works employees in all departments. Flexibility is a key trait as work tasks will vary significantly throughout the course of the shift. The employee performs a wide variety of complex and confidential administrative functions. Duties are diversified and require the ability to learn new tasks and have an attention for detail. The employee must also apply considerable independent judgment in a broad range of operational situations based on knowledge gained through training and experience. Self-motivation and the ability to work unsupervised is an absolute must in this demanding maintenance environment. The duties involve plant maintenance and operational procedures, plant databases, reports, customer service, invoicing and ordering of chemicals, materials, and supplies, inventory control, data entry for new assets, and entry and completion of work orders. Reports to the Water Production Superintendent. ESSENTIAL DUTIES AND RESPONSIBILITIES to include, but are not limited to, the following: Continuously monitors and promptly responds to all email, telephone and other forms of communication. Prepares spreadsheets, performs quality control reviews, inputs data, and submits regulatory reports and projects to all required agencies (ADEM, EPA, ADECA, ADPH, NOAA, etc.). Orders and schedules deliveries of all chemicals, reagents, and supplies including tracking down delayed deliveries, submitting annual purchase orders and maintaining contact information. Enters requisitions and purchase orders, receives material, and reconciles invoices. Prepares, maintains, and distributes on-call calendars. Performs basic administrative functions such as preparing correspondence, answering telephones, monitoring gates and building access to plants, screening and directing visitors, maintaining databases, project files, reports, support for supplying data or documents as requested by others, assisting with setting up facility and returning facility to normal arrangements for classes, meetings, presentations, inspections, including ordering, picking up, and setting up lunch or refreshments. Prioritizes and dispatches work requests using maps, data, equipment and personnel availability, task schedules, computer applications, and other information. Researches, documents, and resolves customer issues regarding water quality concerns or complaints. Utilizes numerous applications (SCADA, CMMS, customer service applications, and laboratory applications) to complete assigned projects. Researches, documents, and resolves work order and asset discrepancies. Coordinates with outside agencies and internal crews for emergencies. Creates and closes maintenance and customer service work orders. Performs quality control of field-completed work to ensure data accuracy. Identifies corrective actions for inaccuracies, as needed. Locates assets for MWW employees using applicable software programs. Prepares reports based on information generated by the CMMS. Backfills various positions during periods of heavy workload or worker unavailability including the Water Production Maintenance Office Assistant. Assists crews with minor computer issues. Maintains confidentiality on all matters as required. Works some overtime as required to complete work orders and other job-related duties. Supports special projects. Provides communication and computer support for MWW employees working late. Generates reports. Completes computer tasks such as video download and linkage, data updates, geocoding, generic work assignments, etc. NONESSENTIAL DUTIES AND RESPONSIBILITIES to include the following: Performs other duties as may be assigned. REQUIREMENTS OF WORK Knowledge of computer operations, standard software packages, and data information systems such as word processing and spreadsheets (e.g. CMMS, Enquesta, Labworks, Microsoft Office Suite, etc.). Knowledge of basic inventory processes. Knowledge of policies and procedures of the Water Production Department, ADEM, the EPA and other state and federal agencies with respect to potable water production. Skill in understanding and following a variety of complex oral and written communications. Skill in communicating effectively with customers, coworkers, supervisors, contractors, engineers, and the public using standard business English and maintaining effective working relationships. Skill in operating all standard office and communication equipment. Skill in producing superior work in a multi-tasked environment under time and circumstance constraints. Ability to keep records and prepare clear and concise reports on water production. Ability to learn and understand Montgomery Water Works types of equipment, parts, and assets used and tracked in the CMMS and their locations. Ability to learn Maintenance and Customer Service procedures and practices for both Water and Wastewater services. Ability to learn the basic functions of all MWW Departments and Areas and the assets they control. Ability to learn standard Water Works oral and written communication procedures and practices. Ability to accurately identify and input data into appropriate programs or spreadsheets as well as extract required data and detect errors or discrepancies from the same programs and spreadsheets. Ability to identify the appropriate individual or Department who can respond to issues within as well as outside of MWW Water Production's responsibility. Ability to learn software applications within a specified timeframe. Ability to troubleshoot minor computer hardware and software issues in person and over the phone. Ability to work proficiently and exercise good judgment without supervision. Ability to recognize and maintain the confidentiality of work materials and information. Ability to stock and retrieve inventory. Ability to work extended hours as needed to support Water Production Operations. REQUIRED TRAINING AND EXPERIENCE Graduation from an accredited high school or GED equivalency. Proficiency in computer operations and standard software packages such as word processing and spreadsheets. Two years' experience in data entry and using spreadsheets, and word processing software programs in an industrial, engineering, construction, or business environment. Have and maintain a current valid driver's license and be insurable by the Board's insurance carrier. DESIRED TRAINING AND EXPERIENCE Bachelor's Degree in Computer Science or related field from an accredited college or university or 6 years of equivalent training and experience. Experience working in a water treatment plant or similar industrial facility. Experience in the water distribution and/or wastewater collection industry. Experience with a computerized maintenance management system (CMMS). Experience with mapping software. PHYSICAL ABILITIES Ability to speak, hear and see within normal ranges and tones. Ability to lift and carry 25 pounds up to 25 feet. Ability to do sedentary work, such as viewing a computer monitor, entering data, or monitoring phones for extended periods. Ability to climb stairs to 3 floors. WORK ENVIRONMENT The majority of this work will be performed in a professional office setting but may include visits to off-site locations.
