Job Description Start Pay ~ $56,000 annually About the Role The GIK Program Specialist supports Rise Against Hunger’s Gift-in-Kind (GIK) program through accurate management of GIK goods coming into the warehouse, being inventoried, documented, stored properly, and items being shipped out of the warehouse to partners around the world. Reporting to the Senior GIK Manager, the role includes important responsibilities such as inventory management, logistics coordination, data entry, tracking, timeliness of delivery, and managing Salesforce records. This position will work closely with the Senior GIK Manager to ensure strong partner communication and relationship building to support the impact of the GIK program. This position is based in Orlando, FL, and requires flexibility, as some tasks and deliveries occur outside regular business hours. Who Are You • 2–4 years of logistics, administrative, or warehouse coordination experience, ideally in a nonprofit or humanitarian setting., • Proficiency in Salesforce, • Strong organizational skills, attention to detail, and ability to manage multiple priorities., • Excellent communication and multitasking skills., • Ability to work flexible hours for time-sensitive shipments., • Ability to lift up to 25–50 lbs. during warehouse tasks., • Ability to work in a warehouse., • Hybrid flexibility may be available after an initial training period, depending on needs., • Experience using specialized equipment such as box trucks, forklifts, and pallet jackets What You Will Own and Improve 45% Administrative Tracking, Reporting and Partner Support • Assist with coordination of domestic and international GIK shipments, including documentation, scheduling, and partner follow-up., • Prepare, update and maintain all shipping documents (packing lists, commercial invoices, donation letters, and customs forms)., • Revise and update shipment documentation as changes occur., • Track and confirm partner receipt of GIK shipments, • Collect confirmation details and reporting which includes photos, quantitative data, and impact stories., • Support partners in completing post-shipment feedback, impact reports, and media documentation., • Responsible for GIK inventory data integrity within Salesforce, ensuring accurate, real-time tracking of quantities, locations, expiration dates, shipment allocations, and partner confirmations., • Maintain current partner contact and shipping information in Salesforce., • Track and record Rise Against Hunger meals added to each container., • Support invoice processing, vendor communication, and expense tracking., • Ensure all documentation is accurately recorded in Salesforce for logistical tracking and audit compliance., • Maintain audit readiness by keeping all files current and complete in Salesforce and GIK tracking systems., • Implementation and ongoing management of the new GIK inventory system., • Reconcile inventory movement between the warehouse, containers, and partner confirmations to ensure full traceability., • Support internal and external audits by ensuring complete documentation of inventory transactions 45% Administrative Inventory Management and Controls • Responsible for inventory intake of all GIK products upon arrival, ensuring accurate quantity verification, condition assessment, and timely entry into Salesforce and inventory tracking systems., • Maintain accurate warehouse records, labeling, and palletizing; verify all documentation matches physical goods., • Maintain inventory control procedures, including labeling, pallet configuration, tracking, expiration monitoring, and reconciliation of physical inventory to system records., • Track and inventory GIK items loaded onto containers, confirming accuracy against manifests., • Monitor expiring inventory and ensure proper stock rotation., • Communicate with freight partners and warehouse staff to coordinate container pickups and deliveries., • Provide timely updates to the Senior GIK Manager and internal teams on shipment status, delays, or discrepancies., • Support emergency response shipments or special logistics projects as needed., • Conduct routine cycle counts and periodic physical inventory audits to ensure system accuracy and identify discrepancies., • Assist in developing, improving and maintaining Standard Operating (SOPs) for inventory management 10% General Support, Internal Coordination and Flexibility • Provide daily administrative and logistics support to the Senior GIK Manager., • Collaborate with program managers to identify needs and in-kind opportunities for Impact Partners., • Coordinate with other inter-departmental teams to ensure smooth supply chain operations, • Participate in team meetings and assist with reporting and shipment analysis., • Flexibility to work outside regular hours, including evenings or weekends, as required, • Flexibility is required to accommodate partner communication across time zones and last-minute logistics changes., • Perform additional duties as needed to ensure program success What You Already Know KEY COMPETENCIES • Collaborates - Works effectively across teams to meet shared goals., • Communicates Effectively - Clear, timely, and professional with partners and staff., • Adaptability - Adjusts quickly to changing timelines and needs., • Organization - Maintains accurate shipment and inventory documentation., • Accountability - Takes ownership and ensures task completion., • Attention to Detail - Ensures quality and compliance at every step SKILLS • Excellent social, interpersonal skills and demonstrated ability to interact with culturally diverse staff, program and participants, • Demonstrates a sense of urgency, attention to detail and follow up, • Flexible, adaptable and thrives in a fast paced environment with a number of projects and activities simultaneously, • The ability to prioritize and work with multiple projects with variable deadlines.
