JOB TITLE: REGIONAL SERVICE MANAGER, ORLANDO AREA REPORTS TO: Reports directly to Vice President, Project Management and will have direct interface with Property Managers, Regional Property Managers and Vice President, Operations. Exempt - Salary Position; Minimum Forty hours each week, may include weekends for emergencies Experience/Other: Minimum TEN consecutive years in Apartment/Facility Maintenance Management or higher level position; Must have a valid FL driver’s license. HVAC - EPA, CPO Certifications mandatory ESSENTIAL JOB FUNCTIONS: Responsibilities: Responsible for maintaining the integrity of the physical asset and maximizing the returns from the asset in accordance with the owner’s objectives; In coordination with Property Manager, assists with the for hiring, training, supervising, developing and terminating of all Service Manager’s, and other maintenance personnel as assigned; Supervises personnel assigned on special projects; Insures staff compliance with company policies and procedures, and insures efficient performance of their duties on a timely basis; Assists with special projects, administrative tasks and other related work, and performs all other duties as directed; Maintain active safety program and provide monthly safety training for site personnel; Proactively communicates pertinent and essential aspects of the site operations to Vice President, Project Management, as well as Regional Property Managers and Vice President, Operations. Relationships: Maintains relationships with other departments within the company; Assists Property Manager with the management and supervision of Service Manager and maintenance staff; Maintains relationships with suppliers, vendors and professionals servicing the Company or Property; Collaborates, on projects and initiatives, with the Vice President, Project Management, Regional Property Managers and Vice President, Operations as assigned. Supervisory Ensures that Service Managers are completing all duties and responsibilities in accordance with Company procedures and guidelines, and are focused of the achievement of stated goals and objectives; Acts as a role-model for maintenance staff by following all Company policies and procedures and by presenting an appearance appropriate to the image of the Company. Maintaining the Facility Provides oversight for the maintenance team; Delegates and oversees scheduling of special projects; Completes regular inspections and follow-up of capital and special projects; Conduct quarterly inspection of each Property’s maintenance facility including compliance checks of preventive maintenance logs, parts inventory database, safety equipment and practices; Conducts quarterly Site Inspections to include road quality, inlets, building appearance, both structurally and aesthetically, downspouts, leveling of A/C units, overall cleanliness of site, compactor/dumpster area, pool and play area, etc. A complete written evaluation, including checklist and narrative components, to be forwarded Service Managers, Property Managers, Regional Property Managers, Vice President, Project Management and Vice President, Operations; Review and update each Property’s preventive maintenance log as needed; Negotiates, selects, supervises and reviews all contractual services; Confirms that all vacant apartments and common areas are being maintained in accordance with Company standards; Periodically inspects grounds, hallways, breezeways, and all common areas; Places orders, when approved, for supplies, materials, equipment and services; Makes recommendations for physical repairs, replacements or improvements Assists Service Managers with pre planning and preparation, along with physical help, if needed, during snow events. Capital and Special Projects Evaluates, creates or collaborates on defining or modifying the scope of work on all capital and special projects; Coordinates the announcement of request for proposals, interviews all contractors and vendors and oversees the selection and acceptance process for projects; Reviews, approves and submits all proposals and contracts with pertinent documents to the Vice President, Project Management for execution; Oversees and manages the scheduling and completion of all special projects as assigned, and delegates and supervises other projects to the appropriate on-site Service Manager. Financial Reporting and Control Assists in the preparation of the annual operating and capital budget; Reviews monthly Financial Statements, and other reports as assigned; Makes recommendations for more efficient use of allocated funds. Administration Maintains maintenance related property files and records; Ensures that all supervised employees comply with the appropriate policies and procedures; Completes all duties in a professional and timely manner; Communicates all issues and makes recommendations to the Vice President, Project Management. Educational: High School diploma or equivalent, required; Associates Degree or greater, preferred; Professional accreditation, CAMT preferred; HVAC/CFC – certified; OSHA – certified; Familiar with federal, state and local Fair Housing Laws CAPABILITES: Technical: Good computer knowledge; including ability to navigate, Word, Excel, Outlook, and Internet Explorer, and other database programs; Familiarity with HVAC systems and various appliances, as well as a general knowledge of electrical, plumbing, and carpentry techniques; Understanding of safety requirements and OSHA standards. Physical: Able to sit for extended and consecutive hours while typing and operating a computer; Able to walk, stand, drive, climb, kneel, bend and visually inspect throughout the day; Physical strength and ability to lift, carry and put away supplies, materials or equipment weighing up to 50 pounds; Stamina sufficient to endure continuous physical effort including frequent standing, walking, bending, climbing, balancing, stooping, kneeling, crouching, crawling, reaching, and grasping; Able to endure working up to 10 hour shifts to perform duties as assigned in all kinds of weather including snow shoveling and plowing and operating snow blowers; Ability to work on heights, such as roofs, while utilizing ladders and/or scaffolding; Ability to tolerate and work with chemicals used at the property for maintenance of apartments, pool and other facilities. Skills/Abilities: Good oral and written communication skills; Ability to understand and follow oral and written instructions; Ability to speak English fluently and some understanding/speaking Spanish Appearance compatible with the image of the Company and Property: positive attitude, good sense of humor; energetic, assertive and capable role model for subordinates; Ability to evaluate situations, and make decisions that are in accordance with Company policy and meet the stated business objectives; Exceptional organizational and planning abilities, coupled with a strong ability to follow through; Sets high standards for the team, and articulates clear goals and expectations; Demonstrates integrity on a personal as well as professional level; Ability to interact with a wide range of people and maintain excellent customer relations; Ability to lead, direct and motivate employees, clients and partners; Able to build a strong sense of teamwork, purpose and a positive corporate culture; Delegates appropriate levels of authority to others; Ability to solve problems involving residents, personnel, finances, equipment failure, emergency situations, etc.; Ability to manage projects and tasks through completion, and meet all deadlines as assigned.
