Job Description About the Role The Administrative Assistant will provide comprehensive administrative support to the Real Estate and Infrastructure Operations Department. What You’ll Do • Booking and processing travel (hotels, airfare, trains), reconciling associated expenses, and using agency software., • Processing and paying vehicle violations, maintaining the GPS violation log, assigning gas pins/tokens, and processing fleet-related invoices (e.g., Enterprise, mechanics, WEX)., • Creating systems for, categorizing, maintaining, and fulfilling requests for physical and digital files, as well as verifying and paying invoices related to storage., • Processing general purchase requests, reconciling receipts, and organizing/submitting all REIO-managed invoices for signature and payment to Accounts Payable., • Coordinating the distribution of sponsored cell phones and laptops, assisting with technology Purchase Requisitions, and managing the inventory of assigned hardware., • High School Diploma/GED., • Administrative experience supporting organizational leadership/executives., • Advanced proficiency in MS Office Suite and Outlook., • Proactive problem-solving, independent decision-making, professional demeanor, strong work ethic, confidentiality, and ability to thrive in a fast-paced environment. Work Environment: Corporate Office, one remote day bi-weekly. Position Type/Expected Hours of Work: This is a full-time position. Days and hours of work are Monday through Friday in our Headquarters at 1333 Broadway office in Midtown Manhattan. Work hours are 9:00 am - 5:00 pm. Additional Requirements: • Authorized to work in the U.S., • Ability to work in-person in New York City (NY) for at least 3 days or more per week.
