Job Description Position Summary Lifeline Community Services is hiring a Part-Time Bilingual Programs Receptionist to support our growing team. This position supports our organization with efficient and positive reception delivery and administrative support duties including greeting visitors, handling appointments, meetings, calls, and triaging various needs to ensure smooth daily operations and support our staff, clients, and community. General Responsibilities Responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, office supply requisition and deliveries, as well as additional clerical duties. Respond to the needs of walk-in individuals and families in a culturally sensitive manner. Responsible for opening and closing of the Vista main building. Provide agency information and referrals to clients from diverse cultural and socioeconomic populations. Assists in scheduling and troubleshooting room reservations, reception, clerical and office operations for the Vista Office. Must demonstrate knowledge of trauma Informed, client driven, and culturally competent care Required Qualifications • Interact with and provide assistance to community by phone and in person, • Answer telephones and direct the caller to the appropriate associates, • Provide prompt customer service, waiting room management, • Greet and direct visitors and clients, • Direct non-client walk-ins to appropriate external resources, • Ensure privacy practices, brochures and other required information are current and posted according to policy, • Maintain supply of intake and program materials in conjunction with Administrative Manager of Programs, • Coordinate reception coverage for planned absences, • Submit tasks to, and communicate with, Facilities Manager as needed, • Responsible for opening and closing procedures according to protocol, • Provide limited information and referrals to community and organizations as appropriate, • Operate and maintain office machines (i.e. copy machines, fax, printers, etc.), • Meter outgoing mail, distribute incoming mail, and manage postage reports, • Translate and interpret for Spanish speaking clients as needed, • Monitor customer conduct in public areas (waiting room, restroom, etc.), • Modify forms as needed using Microsoft Word, Excel, or Publisher, • Participate in supervision, training programs and other meetings as required, • Prepare and distribute interoffice mail at reception office, • Monitor fax machine and distribute faxes as needed, • Maintain resource cart with up to date materials, logo items, and general supplies, • Follow all policies and procedures including client item pick up and key sign-in and sign-out, • Coordinate with staff to make sure there is an adequate stock of necessary intake packets at reception, • Ensure ongoing neatness and sanitary condition of reception area, meeting rooms, and bathrooms, • Complete monthly Konica and Postage reports on time, • Completes duties as the Safety Captain for Vista Main, • Order supplies as needed which includes the Vista Main supply room and reception items, • Manage recurring office supply deliveries, to include:, • Reconcile delivered items to accompanying packing slip, • Notate any missing or damaged items and resolution preference, • Coordinate supply pick-up with recipients or distribute as needed, • Maintain paper file of orders, packing slips, etc., • Address copier issues and jams as needed, • Use folding machine for work orders per request, • Other duties as assigned Requirements High school graduate +2 years' experience or equivalent work experience. Strong phone and face-to face communications skills. Basic knowledge of MS Office package. Able to assess client needs and match them to the appropriate agency services. Able to deal in a courteous, professional, and calm manner with individuals experiencing a variety of stressful situations. Strong decision making and crisis intervention skills. Fluent in both English and Spanish. Able to work independently as well as cooperatively in conjunction with other program staff and clients. Able to successfully coordinate multiple priorities simultaneously. Must be very organized and detail oriented. Good attendance is critical. Primary functions require sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist; to lift, carry, push, and/or pull light to moderate amount of weight (up to 15 lbs.); to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer, telephone, fax machine, and other office equipment as needed. Involves frequent contact with staff and clients and may sporadically deal with angry/upset clients. This position requires physical presence at the business location during all assigned working hours in order to adequately perform all duties.
