Overview: TrustedTech is seeking a polished, highly organized, and people-oriented Office Administrator to join our team. This is a visible, high-impact role at the center of TrustedTech’s day-to-day office experience, supporting the Chief Revenue Officer (CRO) with calendar and travel coordination, serving as the face of the Irvine office for guests, and partnering with the People & Talent team to deliver a standout employee experience. This role is as much about presence and professionalism as it is about logistics. The right person brings genuine warmth, sharp organizational instincts, and the ability to manage competing priorities across a busy executive suite (including personal in-office support), without missing a beat. Responsibilities: Executive & Administrative Support (CRO Focus) • Manage heavy calendar coordination and scheduling for the Chief Revenue Officer (CRO), anticipating conflicts, prioritizing appropriately, and ensuring the leader’s time is protected., • Coordinate domestic and international corporate travel arrangements for the CRO, including flights, accommodations, ground transportation, and comprehensive itinerary management., • Execute personal in-office errands for the CRO, including coordinating lunch orders, picking up items as needed, and managing other daily administrative requests., • Oversee the sourcing, ordering, and distribution of client and employee gifts, including managing digital platforms like Prezee., • Provide administrative support to the People & Talent team, including scheduling and document preparation. Office Operations & Facilities • Serve as the primary point of contact for all office visitors, greeting guests warmly and creating a professional first impression., • Manage conference room setup and breakdown for meetings, handle incoming/outgoing mail, and maintain general office organization., • Monitor, order, and restock office supplies, kitchen snacks, and beverages to ensure the environment is well-equipped., • Coordinate on-site perks programs, such as the office car wash and other employee-facing amenities. Culture, Events & Employee Experience • Partner with the People & Talent team on new hire logistics, including desk setup, technology prep, and welcome packages., • Plan and coordinate team-building activities and provide hands-on support for large-scale quarterly corporate events., • Maintain a proactive, solutions-first approach to the needs of the team to foster a positive office culture. Required Skills & Qualifications (must-haves): • 2+ years of experience in office administration, front desk operations, executive assistance, or a closely related administrative support role., • Exceptional organizational and multitasking skills, with a demonstrated ability to manage competing priorities, track multiple moving parts, and maintain sharp attention to detail in a fast-paced environment., • Outstanding verbal and written communication skills, with the professionalism and executive presence to interact confidently with C-suite leaders, office visitors, and external vendors., • High degree of reliability, punctuality, and discretion, particularly when managing sensitive executive schedules, corporate travel, and confidential business information., • A warm, service-oriented approach to the office environment, with genuine enthusiasm for creating a positive experience for employees and guests alike. Preferred Skills & Qualifications (nice-to-haves): • Prior experience providing direct administrative or executive assistant support to C-suite or VP-level leaders, with familiarity with the pace and demands of an executive office environment., • Proficiency with Microsoft Office Suite (Outlook, Word, Excel, Teams) and/or Google Workspace (Gmail, Calendar, Docs), including the ability to manage complex calendar coordination across platforms., • Experience with Prezee or similar corporate digital gifting platforms for employee and client recognition programs., • Prior experience working closely with an HR or People & Talent team, supporting onboarding, culture programming, or employee experience initiatives., • Experience coordinating corporate events or off-site team activities, including vendor management, logistics planning, and on-the-day execution support., • Familiarity with a technology company or professional services environment, where pace, professionalism, and adaptability are part of the daily culture.
