Job Description Firm: Thomas Kerns McKnight, LLP is a consumer rights and advocacy law firm that focuses on personal finances and the available options to help consumers navigate these difficult financial times. Objective: The Office Assistant is responsible for supporting daily mailroom operations and providing general office coordination to ensure the efficient functioning of the workplace. This role serves as a key resource for office services, shipping and receiving, workplace logistics, and office support. The position requires a proactive, customer-service-oriented individual who can manage multiple priorities in a fast-paced environment. Position Summary: • Coordinate mailroom processes, • Receive, sort and distribute mail and prepare and process outgoing packages and mail, • Collect and organize documents including sensitive, personal information, • Examine outgoing mail for appearance and seal envelopes by machine, • Weigh mail to determine correct postage, • Perform filing, faxing, scanning, copying, and data entry projects, • Assure the reception area, conference rooms, and kitchen area are kept neat and tidy at all times, • General administrative duties as required to meet business needs, • Serve as a resource between management and employees by handling questions, • Attend meetings, training activities, and other work related activities as required, • Report bi-monthly results to direct supervisor, • Any other projects assigned by direct supervisor Other Skills and Qualifications: • Bilingual (English/Spanish) proficiency preferred, • Ability to perform the essential functions of the job, • Strong work ethic, loyal, trustworthy, honest, team player, • Proven ability to multi-task and have regular contact with managers and employees, • Ability to maintain confidentiality of Firm and client matters, • Ability to work cooperatively with a variety of personality types, • Excellent written and verbal communication skills, • Must possess superior organizational skills, • Ability to work with minimal supervision, • Computer literate with proficiency in Microsoft Office, • College degree preferred Physical Demands: While performing the duties of this job, the employee is regularly required to sit, use hands to manipulate equipment, to talk and hear. The employee is occasionally required to stand, walk, reach with hands and arms, and stoop, kneel, or crouch. The employee must occasionally lift and/or move office supplies weighing up to 30 pounds. Specific vision abilities required by this job include close vision, color vision, and ability to adjust focus. Finger dexterity is required to operate a computer keyboard.
