The company’s goal is to help people live long, healthy and vibrant lives, improving both lifespan and healthspan. Position Summary This position is for Scribe / Medical Assistant / Phlebotomist. This role is heavy in scribing and patient visit preparation. The role consists of rooming patients, obtaining vital signs, up to date medications, any changes or concerns, and updated goals of the visit. This is followed by scribing for the physician during visits using a provided care plan template as well as ordering prescriptions and referrals and scheduling follow up appointments live during the visit. The role includes support with phlebotomy when needed which includes ordering labs, drawing blood, billing, and processing labs start to finish. The role involves administrative duties such as ensuring insurance cards and medical records are uploaded, patients are scheduled appropriately, and provider’s schedule reflects correctly. Expectation of being active in patient communication via our chat or patient phone calls and follow up with patient needs in a timely manner. The role requires a technology savvy individual for app and EMR system. This role ensures accuracy, efficiency, and compassion at every step of the patient journey, while serving as a bridge between patients, providers, labs, and administrative teams. Key Responsibilities Patient Care & Clinical Support • Greet and verify patients in a timely manner., • Rooming patients and providing provider with updated information such as medications, changes, and goals., • Scribing for physician during visits using a templated care plan., • Ordering prescriptions, referrals, and scheduling follow up appointments live during physician visits., • Coverage for phlebotomy duties including ordering appropriate labs based on patient’s journey, venipuncture, charting on procedure, and processing labs., • Venipuncture should regularly be obtained in 1 successful stick., • Assist provider as needed during examinations and minor procedures if needed., • Maintain safety, compliance, and confidentiality of patient data., • Schedule and reschedule patient, provider, and specialty appointments across multiple calendars. This includes scheduling follow-up appointments live during physician visit or immediately after visits., • Preparing for physician appointments involves ensuring most recent lab results, medical history, relevant specialty testing or screening, expert credit notes, fitness notes, updated medications/supplements, and updated goals are uploaded., • Upload and organize patient documentation across an app as well as Athena., • Manage insurance, billing discrepancies, and Quest lab communications., • Coordinate referrals, medical record releases, pre-op clearance labs, and faxes, ensuring documentation is shared with both members and providers., • Respond promptly to patients through email, care navigator (CN) Chat, and phone. High prioritization on utilizing and managing the CN chat., • Provide education on lab collections, procedures, membership journey, etc., • Relay updates from providers, including results, prescription refills, pending labs, and follow-ups., • Track patient memberships, start/end dates, credits, renewals, and preferences., • Maintain communication with outside offices, labs, and vendors to resolve discrepancies and support continuity of care. Required Skills & Qualifications • 2–4 years of experience in healthcare operations, clinical coordination, or medical administrative support., • Scribe experience or strong computer/typing skills with medical knowledge., • Strong working knowledge of EMRs (Athena preferred), scheduling systems, and lab requisition workflows., • Familiarity with insurance billing, lab test codes, and ICD-10 documentation., • Exceptional organizational skills, attention to detail, and multitasking ability., • Excellent interpersonal, written, and verbal communication skills., • Proficiency with Microsoft Outlook, Excel, and Google Suite., • Experience with concierge, functional, or integrative medicine practices., • Familiarity with specialty labs (Genova, Dutch, Vibrant America, etc.)., • Knowledge of CGM setup and troubleshooting., • Understanding of clinical inventory management and POC protocols. Work Conditions • Full-time, in-person, • May involve use of a personal vehicle for deliveries. Regular attendance in conformance with the standards, which may be established by Love.Life from time to time, is essential to the successful performance of this position. Attendance standard for salaried exempt team members is dedicating adequate time to fulfill the duties outlined in this job description equal to, or more than 40 hours per workweek. Due to the cyclical nature of the industry, team members may be required to work varying schedules to reflect the needs of the business.
