Job Description Job Summary: The Administrative Assistant will provide high-level administrative support by managing schedules, organizing tasks, drafting reports, and ensuring follow-through on projects. This role demands exceptional accountability, attention to detail, and the ability to adapt to shifting priorities in a fast-paced environment. Additionally, the assistant will support the Project Management Department with key tasks and follow-ups to ensure seamless project execution while maintaining efficient office operations. Key Responsibilities: • Administrative Support:, • Answer and direct phone calls, emails, and other forms of correspondence., • Prepare and distribute communications, reports, memos, and presentations., • Organize and maintain digital and physical filing systems, including creating, updating, and maintaining records, databases, and documentation like SOPs., • Scheduling, Coordination and Meeting Documentation:, • Manage and maintain the calendar, scheduling meetings, appointments, and travel arrangements., • Coordinate and organize internal and external events., • Ensure schedules are prioritized, meeting deliverables, and tasks are completed on time., • Open tickets and follow through for resolutions on issues., • Take clear, concise meeting notes and provide actionable summaries., • Project Assistance:, • Use tools like Asana to organize, prioritize, and track progress on tasks and projects., • Assist project managers with key event schedules, follow-ups, and other administrative needs to keep projects on track., • Self-Accountability and Adaptability:, • Follow up proactively to ensure tasks and deliverables are completed accurately, on time, and to high standards., • Maintain a proactive mindset to anticipate needs and address challenges effectively., • Pivot quickly in response to shifting priorities or urgent needs, maintaining focus and effectiveness., • Team Collaboration:, • Serve as a liaison between departments to facilitate effective communication and collaboration., • Experience: Proven experience as an Administrative Assistant or in a similar role., • Technical Skills:, • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools like Asana., • Familiarity with tools like EZP, Automate, ThoughtSpot, and ChatGPT is a plus., • Communication Skills: Excellent verbal and written communication abilities., • Organizational Skills: Strong multitasking, prioritization, and problem-solving skills., • Weekly pay, • Company Matching 401 (K) program, • Dental Insurance, • Vision Insurance, • Health Insurance, • Paid Time Off, • Paid Holidays Fabuwood is the leading kitchen cabinet manufacturer in the United States.
