Job Description Department: Human Resources Position Overview: The Human Resources Receptionist is responsible for providing an array of administrative and clerical support, providing a professional and positive customer service demeanor daily in an office setting daily. General Duties/Responsibilities: • Responsible for greeting internal and external customers in department reception area., • Responsible for answering multi-line phone system., • Responsible for conducting all interactions in a professional, courteous, and confidential manner., • Collects, reviews, and assists applicants with the application process., • Maintains current files by sorting and filing documents in designated locations each day., • Assists applicants and employees regarding required documentation., • Responsible for sorting employment applications to ensure candidates meet minimum qualifications., • Submits qualified applications to the relevant departmental hiring managers for review and consideration., • Responsible for scheduling appointments for new hire physicals and screenings., • Responsible for contacting job applicants to inform them of their status in the application process., • Prepares and mails letters to applicants that do not meet the minimum requirements for the position, weekly., • Responsible for preparing wage forms for employees prior to salary changes., • Prepares new hire packets for first day orientation prior to scheduled training day., • Attends new hire orientation as an HR representative to foster a positive attitude towards organizational objectives., • Assist with all recruitment functions including conducting background checks., • Responsible for creating new hire folders for filing., • Responsible for working on special projects in support of the Human Resources and Labor Relations Department., • Performs all record-keeping, typing and data entry functions with a high degree of accuracy., • Assists with organizing company and departmental events., • Maintains confidentiality and protects employee and company data., • Responsible for preparing employment verification letters upon request., • Responsible for opening and distributing HR mail., • Responsible for sorting all incoming mail daily., • Responsible for boxing, moving, and retrieving files to and from storage., • Maintains and orders office supplies., • Organize and replenish department supplies such as closet, kitchen and all other communal areas daily., • Responsible for assisting the Human Resources staff as necessary., • Performs all duties in a professional, courteous, and confidential manner. Reporting Responsibilities: This position reports to the Director of Human Resources. Position Qualifications: • High School diploma or equivalent required. Some college preferred., • Minimum of one-year previous experience as administrative support required., • Strong knowledge of computer software including but not limited to Microsoft Suite., • Must have strong interpersonal and communication skills both written and verbal., • Ability to handle details with accuracy., • Strong organizational and recordkeeping skills., • Strong customer service awareness., • Ability to prioritize. Physical and Sensory Requirements: • Ability to use all office equipment., • Ability to properly alphabetize and file accordingly., • Ability to sit in a sedentary position for an undefined amount of time., • Ability to prioritize work in an efficient and timely manner., • Ability to reach above shoulder level, bend and lift without assistance., • Ability to push and pull up to 10 lb., • Ability to serve as a messenger making deliveries both internally and externally., • Ability to read, write and converse in English., • Ability to maintain confidentiality and remain organized.
