Job DescriptionJOB SUMMARY The Coordinator, Exhibitions supports the planning, coordination, and operational success of exhibitions across the Dallas Arboretum. This role assists with exhibition logistics, installation coordination, scheduling, documentation, and maintenance tracking for indoor and outdoor presentations. As a member of the Programs & Learning division, the coordinator works cross-departmentally to support exhibitions that advance the Arboretum’s mission. ESSENTIAL DUTIES AND KEY RESPONSIBILITIES • Serve as a manager on duty on a rotating and pre-approved evening shift schedule, • Serve as the on-site exhibitions point of contact during evening events, • Monitor and report operational and visitor experience needs, • Report installation-related issues and concerns to appropriate leadership, • Maintain institutional standards and exhibition integrityExhibitions Planning, Scheduling & Operations, • Support the coordination and execution of exhibition installations and de-installations, including assisting with site preparation, contractor scheduling, framing, fabrication, and preparator work, • Maintain exhibition schedules and timelines, ensuring alignment with internal cross-department calendars, public programs, special events, and operational needs, • Track deliverables, vendor coordination, applicable budgets, workflow tools, and documentation for exhibition efficiency, • Assist with exhibition-related public programs, previews, and special events, • Coordinate transportation and transit logistics for exhibitions and collections, including assisting with crating, shipping, insurance documentation, and un-crating, • Maintain object and exhibition documentation, registration records, and database updates, • Assist with risk management tracking including condition reports, photography, environmental exposure, safety, and ADA compliance in coordination with applicable departments.QUALIFICATIONS & SKILLS, • Bachelor’s degree preferred (Museum Studies, Arts Administration, Project Management, Art History, or related field, a plus)., • Ability to stand and walk outdoors for extended periods in varied weather conditions., • Ability to lift up to 50 pounds, use ladders, and work in installation environments., • Minimum 2–3 years of experience in exhibitions, museums, public gardens, cultural institutions, or comparable project-based environments., • Experience with collection databases and documentation systems preferred., • Knowledge of museum best practices related to condition reporting, loans, insurance, and object handling preferred., • Ability to work evenings and weekends as scheduled., • A Valid driver’s license is required., • Ability to pass pre-employment requirements including drug screening and background check KEY COMPETENCIES, • Excellent written and verbal communication skills., • Strong project management and organizational skills., • Demonstrated experience with art handling, installation coordination, or registration processes preferred.
