Job DescriptionSalary: This is a full-time, in-office position in the Houston, Texas area, with competitive pay and full benefits. Apave America Inc. is looking for a dedicated and detail-oriented Onboarding Specialist to support our hiring initiatives. This role is responsible for guiding candidates through a structured, compliance-driven onboarding experience and ensuring a seamless transition from offer to first day. The Onboarding Specialist serves as the first face of HR, coordinating across departments to ensure all documentation, certification, and compliance steps are completed correctly and on time. The ideal candidate brings administrative accuracy and people-centered service to a fast-paced, cross-functional environment. Key Responsibilities: Onboarding Compliance • Receive requisitions and initiate the new hire process in coordination with hiring management., • Distribute, collect, and review all onboarding forms, including but not limited to federally required forms, payroll forms, safety screening consent forms, and company policy acknowledgements., • Review completed onboarding forms and follow-up on incomplete or non-compliant items., • Ensure consistent documentation protocols and maintain audit-readiness for all onboarding files. Cross-Functional Collaboration • Respond promptly to onboarding inquiries from candidates and managers with accuracy, empathy, and a service-oriented approach., • Confirm candidate clearance and inform the hiring and administrative teams., • Communicate with the Logistics team to schedule additional training and testing (if applicable). Required Skills & Qualifications: • High school diploma or equivalent (GED) required., • Experience in onboarding, HR coordination, and/or administrative support in a fast-paced, field-heavy environment., • Strong attention to detail and a commitment to accurate recordkeeping., • Excellent time management and organizational skills., • Clear written and verbal communication skills., • Ability to maintain confidentiality and handle sensitive employee information appropriately., • Proficiency navigating shared folders, scanning documents, and using Microsoft Office. Preferred Skills & Qualifications: • Experience coordinating background checks, DISA enrollments, and pre-employment physicals., • Familiarity with basic HR paperwork (W-4, I-9, direct deposit, etc.)., • Previous experience in construction, industrial services, oil & gas, or NDT settings is considered an asset., • Familiarity with shared network drive structures and multi-departmental coordination., • Desire to grow in HR and learn more about compliance, onboarding strategy, and employee engagement. Physical Demands & Work Environment: • This role is office-based with frequent virtual collaboration across remote and field teams., • Standard working hours with occasional flexibility to support urgent requests or project timelines., • Prolonged periods of sitting at a desk and working on a computer., • May be required to occasionally visit job sites or operational offices.
