Job Description Position Summary The Receptionist / Dispatcher serves as the first point of contact for customers while coordinating and dispatching service technicians for a fast-paced copy machine and office equipment company. This position requires strong communication skills, exceptional organization, and the ability to manage multiple priorities efficiently. The ideal candidate is professional, customer-focused, detail-oriented, and able to perform effectively in a high-volume service environment. Essential Duties and Responsibilities Reception Duties • Answer and direct incoming phone calls in a professional and courteous manner, • Greet customers, vendors, and visitors and assist as needed, • Monitor and respond to multiple company email inboxes, • Maintain front office organization and cleanliness, • Receive and distribute mail and deliveries, • Assist with basic administrative tasks, including filing, scanning, and data entry, • Process customer inquiries regarding billing, service, supplies, and general information, • Receive, log, and prioritize service calls from customers, • Schedule and dispatch technicians based on urgency, location, and skill set, • Monitor technician schedules throughout the day and adjust as needed, • Communicate service details clearly to technicians, • Provide customers with service updates and estimated arrival times, • Ensure all service tickets are properly entered, updated, and closed in the system, • Follow up with customers to confirm service completion and satisfaction, • Coordinate parts orders and communicate backorder status when necessary, • Support the VP of Service with reporting and documentation, • Assist with supply order coordination and customer requests, • Maintain the confidentiality of customer and company information, • High school diploma or equivalent required, • 2+ years of administrative, receptionist, or dispatch experience preferred, • Experience in service-based or technical industries is a plus, • Strong verbal and written communication skills, • Proficiency in Microsoft Office (Word, Excel, Outlook), • Ability to multitask and prioritize in a fast-paced environment, • Strong organizational skills and attention to detail, • Customer Service Orientation, • Time Management, • Problem Solving, • Communication, • Team Collaboration, • Office setting with frequent phone and computer use, • May require sitting for extended periods, • Standard business hours with occasional overtime as needed Benefits • Health Insurance, • Paid Vacation, • Paid Holidays, • 401k, • Exceptional Team-Oriented Work Atmosphere Hours 8:00 am to 5:00 pm Monday through Friday.
